Pine Tree Players (PTP) manages the Canmore Miners' Hall (CMUH) on behalf of the Town of Canmore (ToC). We need an organized, personable independent contractor to oversee the day-to-day management of the CMUH, including managing bookings, supporting clients, and coordinating cleaning, repairs and maintenance. Part time hours are approximately 20 hours per month. This is a one year contract for an independent contractor, from January 1-December 31, 2027. The outgoing manager will be available to provide onboarding and transition support. Reliable in-person year-round availability in Canmore is essential for client meetings and walkthroughs. Although administrative work will be done remotely, this is not a fully remote role. Work during the evening and on weekends will be required. Approved absence coverage can be arranged with advance notice.
Responsibilities include:
- Monitor hall email and voicemail, respond within two days, explain the venue and provide showings.
- Manage rental agreements and provide bookkeeping with invoicing information.
- Provide venue resources and planning support and explain policies and procedures. Meet clients before events, provide keyless-entry codes and orient them to the space.
- Arrange cleaning and audiovisual technicians as required and liaise with other service providers as needed.
- Complete damage-deposit walkthroughs, handle complaints professionally, refer matters requiring committee decisions and follow up after events to encourage repeat bookings.
- Maintain the shared booking calendar and client records, report to the CMUH committee, track hours and invoice monthly.
- Ensure that the cleaning supplies and consumables such as paper towel, toilet paper and garbage bags are stocked. Coordinate with the ToC and the CMUH committee on any maintenance items or rental improvements required.
