We’re currently looking for an experienced and detail-oriented Accounts Payable (AP) Specialist to join our growing finance team at our head office in Tillsonburg. This is a great opportunity to be part of a dynamic, friendly workplace where your contributions matter.

Key Responsibilities:

The role covers every step of purchase-to-pay, in the order the work flows through NetSuite.

1. Vendor master data

o Set up and maintain vendor records in NetSuite

o Collect and verify banking details for EFT

o Keep vendor records clean: deactivate dormant vendors and prevent duplicates.

2. Receiving support

o Follow up on short shipments, damaged goods, returns and vendor credits.

3. Invoice processing

o Receive, review and enter all supplier invoices as vendor bills in NetSuite.

o Code non-PO invoices to the correct GL account, department and class, and route for approval under the approval matrix.

o Apply correct sales tax treatment, including GST/HST input tax credits and foreign-currency invoices (USD).

4. Payments

o Prepare weekly payment runs in NetSuite based on due dates, terms and early-payment discounts.

o Issue payments by EFT, cheque, wire and credit card; obtain authorized approval before release.

o Record and reconcile company credit card and expense reimbursement transactions.

o Manage cash requirements forecast for AP and flag large or unusual payments.

5. Vendor relations

o Be the main contact for supplier payment inquiries; respond within one business day.





o Reconcile vendor statements monthly for key suppliers and resolve discrepancies.

6. Month-end and year-end close

o Reconcile the AP subledger to the general ledger every month.

o Reconcile the goods received not invoiced (GR/IR) account.

o Produce the AP aging, open PO and accrual reports.

o Support year-end audit: prepare AP schedules, search for unrecorded liabilities, and answer auditor requests.

7. Controls and process improvement

o Watch for duplicate invoices, fraudulent payment requests and vendor impersonation.

o Improve automation in NetSuite: saved searches, approval workflows, and electronic payments.

Qualifications

Required

- College diploma or university degree in accounting, finance or business, or equivalent experience.
- 3+ years of full-cycle accounts payable experience, ideally in manufacturing or food and beverage.
- Hands-on NetSuite experience: purchase orders, item receipts, vendor bills, bill payments, vendor credits and saved searches.
- Working knowledge of three-way matching, accruals and AP-to-GL reconciliation.
- Understanding of GST/HST, input tax credits and foreign-currency (USD) transactions.
- Intermediate Excel: VLOOKUP/XLOOKUP, pivot tables and reconciliations.

- High accuracy and attention to detail with large invoice volumes.
- Ownership: comfortable as the sole person accountable for Payable process.
- Clear, professional communication with suppliers and internal teams.
- Good judgment on controls and fraud risk.
- Ability to prioritize around weekly payment runs and month-end deadlines.
