About the job
Straight Up Health (SUH) is a Toronto-based youth and family practice that connects families with the right support, from therapy and assessments to coaching and learning strategies. We are seeking an organized, professional, and resourceful Client Care & Growth Coordinator to join our team and report directly to our Leadership Team.
Approximately 30-40% of this role is dedicated to client care. You will be the first point of contact for families, managing all incoming phone calls, emails, and texts, and ensuring every family receives an exceptional experience from first inquiry through to their handoff to a practitioner. The remaining 60-70% supports the growth of the practice, including lead generation, partnership development, business development materials, pipeline management, and events.
The ideal candidate is a self-starter early in their career who demonstrates strong attention to detail and follow-through, takes initiative with minimal direction, and is interested in contributing to the growth of a mission-driven organization.
Your key responsibilities:
Deliver an exceptional client experience.
You will:
- Serve as the first point of contact for families, answering all phone calls, emails, texts, and web inquiries promptly and professionally
- Manage the shared inbox, responding to inquiries within one business day and routing messages to the appropriate team member
- Guide families through next steps, including explaining services and fees, sending and tracking the 360 Discover intake, and booking consultations
- Match each family with the best-fit practitioner based on their intake, escalating complex or higher-risk cases to the Director for clinical input
- Coordinate a smooth handoff to the practitioner, confirm first appointments, and follow up after the first session to ensure the fit is right
- Maintain accurate client records and handle all communication with strict confidentiality, in accordance with privacy legislation (PHIPA) and clinical boundaries
- Support scheduling and coordination across our network of approximately 20 practitioners
Generate leads and identify new opportunities.
You will:
- Research and build targeted lists of prospective schools, employers, sports clubs, parent associations, and referral partners such as Pediatricians and family physicians
- Conduct outreach to new prospects and follow up consistently to secure introductory meetings for our Leadership Team
- Identify new opportunities for partnerships, speaking engagements, workshops, and community programming
- Monitor sector trends, conferences, and networking events where SUH should be present
- Pull attendee and contact lists from events and campaigns, and ensure every lead is followed up
Support partnership development and keep our pipeline current. You will:
- Tailor pitch decks, proposals, and follow-up materials in Canva for each prospective school, employer, or community partner, and have them ready ahead of every meeting
- Keep our library of collateral, templates, program overviews, and pricing documents current and organized
- Prepare onboarding and communications packages for new partners
- Coordinate meeting logistics, send follow-up materials, and track action items through to completion
- Maintain our CRM, including contacts, deal stages, meeting notes, and next steps
- Prepare a weekly pipeline and client intake update for the Leadership Team
- Maintain organized records of proposals, agreements, and partner documents
Coordinate workshops and events.
You will:
- Coordinate school workshops, parent webinars, corporate sessions, and community events, including scheduling, vendors, invitations, and registration
- Work with our practitioners and facilitators on scheduling, content, and materials for each presentation
- Manage event budgets and handle post-event follow-up, including thank-you notes, attendee data capture in the CRM, and lead follow-up
Build our community and brand.
You will:
- Support marketing campaigns with Canva assets and keep promotional materials organized and current
- Assist with our parent newsletter in Mailchimp and support social media content
- Maintain active relationships with schools, associations, clubs, and community groups
Lead special projects.
You will:
- Take ownership of special projects as SUH launches new programs, from research and planning through to execution
- Proactively identify improvements to our processes and client experience
- Perform other duties and responsibilities as assigned
A bit about you
- One to two years of experience in an administrative, coordination, events, sales support, or client service role, or strong co-op and internship experience
- A true self-starter. You take a project from idea to done with light direction, and you see what needs doing before being asked
- Organized and exact. You keep track of the details, close every loop, and your work is clean the first time
- Confident in Canva and PowerPoint, and comfortable in Google Workspace or Microsoft Office. Squarespace and Claude is a plus!
- Clear writing and a warm, professional manner with school leaders, corporate clients, practitioners, and worried parents
- Comfortable with outreach, including cold emails and calls, and motivated by finding new opportunities

- A genuine passion for the wellbeing of young people and families
