Auto Shop Bookkeeper Job DescriptionPosition Summary : Daily Responsibilities

- Financial Data Entry : Post all daily sales, parts invoices, and service revenues into accounting software (e.g., QuickBooks, Xero).
- Parts & Core Management : Verify vendor parts invoices against delivery slips and track "core" charges and returns to ensure credits are received promptly.
- Accounts Receivable (AR) : Generate and send customer invoices, process daily payments (cash, credit, or fleet accounts), and perform daily cash-drawer reconciliations.
- Accounts Payable (AP) : Manage and categorize vendor expenses (parts, shop supplies, utilities) and schedule payments to take advantage of prompt-pay discounts.
- Bank Reconciliation : Match daily credit card batches and bank deposits with internal records to identify and resolve any transaction discrepancies immediately.

Weekly & Monthly Tasks

- Payroll Processing : Calculate technician wages, which may include flat-rate labor bonuses, overtime, and tax withholdings.
- Inventory Audits :



Assist in periodic physical counts of stocked parts and fluids to reconcile digital inventory with actual quantities on hand.
- Sales Tax Compliance : Prepare monthly sales tax reports, ensuring clear separation between taxable parts and non-taxable labor services.
- Financial Reporting : Generate monthly Profit & Loss statements, balance sheets, and cash flow reports for management review.
- Occassionally other duties such as customer pick-up, drop off, pick-up coffees, lunches etc.

Required Skills & Qualifications

- Experience : Minimum 2-3 years of professional bookkeeping, ideally in an automotive or service-based industry.
- Software Proficiency : Expert-level skills in QuickBooks Online or Xero , as well as MS Excel for custom reporting.
- Detail Oriented : Ability to manage high-volume, small-dollar transactions with 100% accuracy.
- Industry Knowledge : Familiarity with automotive terms (ROs, labor hours, sublet repairs) is highly preferred.

Job Type : Part time

Pay: $18.00-$20.00 per hour

Expected hours: 16 - 20 per week
