Construction Project & Procurement Coordinator

Wynwood Renovations | Design + Build

About Wynwood Renovations

Wynwood Renovations is a growing residential Design + Build renovation company serving Burlington, Oakville, Stoney Creek, Mississauga, Etobicoke, Grimsby, Ancaster, and Milton.

We specialize in thoughtfully designed kitchens, bathrooms, main-floor transformations, and full-home renovations.

Our approach brings design, planning, procurement, construction, and project management together under one team. From the initial design consultation through construction and final project completion, our goal is to provide homeowners with an organized, professional renovation experience while delivering exceptional craftsmanship and attention to detail.

As our project portfolio continues to grow, we are looking for a highly organized and proactive Construction Project & Procurement Coordinator to strengthen our production team and take ownership of project coordination, material purchasing, supplier communication, and procurement tracking.

The Role

We are seeking a dynamic, detail-oriented Construction Project & Procurement Coordinator who understands the many moving pieces involved in residential renovations.

Working closely with our Project Manager, Site Supervisors, Design team, trades, suppliers, and clients, you will help coordinate projects from pre-construction through construction, substantial completion, and closeout.

This is not simply an administrative position. The successful candidate will take an active role in construction scheduling, purchasing, procurement management, supplier coordination, project documentation, budget tracking, and problem-solving.

You will be responsible for ensuring materials are accurately ordered, deliveries are coordinated with construction schedules, suppliers are held accountable, and the production team has what it needs to keep projects moving efficiently.

You will serve as an important link between the office and the field, helping ensure everyone has the information, materials, approvals, and schedules required to deliver successful projects.

Key Responsibilities1. Procurement, Purchasing & Material Management

- Manage the procurement process for residential renovation projects, from approved material selections through purchasing, delivery, and installation readiness.
- Prepare, issue, and track purchase orders for construction materials, fixtures, finishes, cabinetry, countertops, flooring, tile, plumbing fixtures, hardware, and other project requirements.
- Review approved design selections, specifications, quantities, and project scopes to ensure accurate ordering.
- Verify product details, dimensions, finishes, quantities, pricing, and availability before orders are placed.
- Obtain supplier quotations, compare pricing, confirm lead times, and identify opportunities for cost savings.
- Maintain strong relationships with suppliers, manufacturers, distributors, and trade partners.
- Coordinate ordering timelines based on construction schedules, installation requirements, and project milestones.
- Track order confirmations, deposits, expected delivery dates, backorders, shortages, and outstanding materials.
- Proactively follow up with suppliers to ensure materials arrive on time.
- Coordinate material deliveries to job sites, showrooms, warehouses, or other designated locations.
- Address incorrect orders, damaged products, missing items, returns, credits, and warranty-related material issues.
- Maintain accurate procurement records, supplier documentation, purchase orders, and delivery information in JobTread.
- Identify long-lead items and procurement risks early to prevent construction delays.
- Ensure materials are purchased within approved project budgets and escalate cost discrepancies before placing orders.

The expectation is to take ownership of procurement, not simply place orders. The successful candidate will anticipate material requirements, monitor outstanding items, and ensure purchasing is completed accurately and on schedule.

2. Project Scheduling & Construction Coordination

- Work closely with the Project Manager to develop, maintain, and update detailed construction schedules in JobTread.
- Coordinate project milestones, trade sequencing, material deliveries, inspections, and installation dates.

- Review project schedules daily and proactively identify conflicts, delays, or missing information.
- Follow up with Site Supervisors, subcontractors, suppliers, and internal team members to ensure upcoming work is properly coordinated.
- Assist with managing multiple active residential renovation projects at various stages of construction.
- Confirm that required materials, trades, and project information are ready ahead of scheduled work.
- Monitor project progress and communicate schedule changes promptly.
- Support weekly production meetings and upcoming project schedule reviews.

3. Project Documentation & JobTread Management

- Maintain accurate and organized project information within JobTread.
- Review project scopes, drawings, selections, specifications, proposals, and construction documentation.
- Maintain purchase orders, procurement records, delivery confirmations, project notes, and outstanding action items.
- Assist with documenting change orders, RFIs, approvals, daily logs, and progress reports.
- Ensure changes to selections, materials, quantities, or project requirements are documented and approved before purchasing.
- Help ensure project tasks and schedule milestones are accurately updated.
- Assist with project closeout documentation, deficiency lists, touch-ups, and warranty items.
- Maintain organized supplier and project records for future reference and cost analysis.

4. Budget Awareness & Cost Control

- Review supplier quotations and purchase orders against approved project budgets and allowances.
- Track committed material costs and identify pricing discrepancies or potential budget overruns.
- Verify supplier invoices against purchase orders, agreed pricing, and delivered quantities.
- Coordinate with accounting to ensure invoices, credits, and purchasing records are properly documented.
- Identify opportunities to improve purchasing efficiency, reduce unnecessary costs, and minimize material waste.
- Assist with project cost tracking and back-costing to support accurate job profitability reporting.
- Communicate potential cost increases or budget concerns to the Project Manager before commitments are made.

5. Site & Trade Coordination

- Maintain regular communication with Site Supervisors regarding daily progress, upcoming work, materials, and potential barriers.
- Coordinate subcontractors and suppliers based on the project schedule.
- Participate in site visits when required to review progress and verify that work aligns with drawings, scope, and specifications.
- Confirm that materials are available and site conditions are ready before scheduled installations.
- Assist with identifying deficiencies, incomplete work, or coordination issues and ensure they are documented and addressed.
- Help maintain Wynwood's expectations for workmanship, site organization, cleanliness, and professionalism.

6. Communication & Reporting

- Act as a communication link between the Project Manager, Site Supervisors, Design team, trades, suppliers, and other stakeholders.
- Provide clear updates regarding schedules, purchase orders, outstanding decisions, material delays, project risks, and action items.
- Maintain an accurate overview of outstanding material orders and upcoming deliveries.
- Assist with weekly project reporting and production schedule reviews.
- Escalate issues quickly rather than allowing them to impact subsequent stages of construction.
- Maintain skilled, timely, and organized communication internally and externally.
- Follow through on assigned tasks and ensure outstanding items are resolved.

What We're Looking For

The ideal candidate understands that successful renovation projects depend on planning ahead, accurate purchasing, and strong communication.

You should naturally be someone who asks:

What needs to happen next? Have all materials been ordered? Are the quantities and specifications correct? Are the trades confirmed? Will everything arrive before installation? Is the site ready? Are we staying within budget? What could potentially delay the project?

You are someone who enjoys organization, follows through on details, and takes ownership of responsibilities without needing constant reminders.

Qualifications & Skills

- Previous experience in residential renovation, residential construction, project coordination, procurement, purchasing, or construction project management.
- Experience purchasing and coordinating construction materials, finishes, fixtures, or building products.
- Strong understanding of the typical flow and sequencing of a residential renovation project.
- Ability to read and interpret architectural drawings, floor plans, elevations, millwork drawings, specifications, and construction documents.
- Experience reviewing supplier quotations, preparing purchase orders, and tracking material deliveries.
- Strong attention to detail when reviewing product specifications, quantities, pricing, and order confirmations.
- Experience using construction management software; JobTread experience is a strong asset.
- Strong scheduling, purchasing, and organizational skills with the ability to manage multiple projects and competing priorities.
- Understanding of construction phases including demolition, framing, mechanicals, drywall, flooring, millwork, tile, finishing, deficiencies, and project closeout.
- Experience coordinating subcontractors, suppliers, materials, and project schedules.
- Understanding of construction budgets, purchasing costs, and supplier invoices.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, Excel, email, and digital project management systems.
- Ability to recognize potential scheduling, purchasing, or coordination problems before they become larger project issues.
- Comfortable working between an office environment and active residential construction sites.
- Ability to work independently while collaborating closely with a larger project team.
- Strong problem-solving skills and willingness to take ownership of assigned responsibilities.
