We are looking for an Accounts Payable Specialist to join our team in Langley, British Columbia on a Contract basis. This in-office opportunity is ideal for someone who can step into a fast-moving environment, organize priorities quickly, and maintain accuracy while managing a high volume of full cycle accounts payable work. You will support day-to-day invoice and vendor payment activities, contribute to month-end preparation, and help keep financial records current and well organized.
Responsibilities:
- Process supplier invoices by reviewing documentation, assigning the correct coding, and entering transactions accurately into the accounting system.
- Compare invoices against purchase orders, receiving details, and related backup to confirm completeness and accuracy before payment.
- Resolve invoice issues by working with vendors and internal teams to address differences in pricing, quantities, coding, or approvals.
- Verify that all required authorizations are in place before payments are included in scheduled processing.
- Maintain vendor files and respond to supplier questions regarding account status, outstanding items, and payment details.
- Reconcile vendor statements, investigate open items, and help clear unapplied credits or aged balances.
- Track payment deadlines, identify urgent items or discount opportunities, and escalate priorities to the Controller for review.
- Support payment run preparation by assembling documentation for approval and assisting with accounts payable reporting and month-end reconciliations.
- Keep invoice, payment, and vendor records organized to support audit readiness, internal controls, and ongoing process improvements.
- At least 3 years of hands-on accounts payable experience in a busy finance environment.
- Strong working knowledge of invoice coding, vendor reconciliations, and payment processing procedures.
- Experience using accounting software such as QuickBooks, Payworks, and Microsoft Office applications.
- Ability to adapt quickly, manage shifting priorities, and work effectively in a fast-paced setting.
- High attention to detail with a consistent approach to accuracy, follow-up, and record maintenance.
- Strong communication skills for handling supplier inquiries and collaborating with internal departments.
- Familiarity with ERP platforms, expense or financial systems, and general accounts payable controls is considered an asset.
