About Northern Leisure Products
Northern Leisure Products is a growing Canadian outdoor wellness company specializing in hot tubs, swim spas, saunas and related products. We work with a growing network of dealers across Canada and are looking for an organized, dependable and hands-on individual to join our operations team.
Position Overview
We are seeking a Office Administrator and Shipping Coordinator to manage the day-to-day flow of products, inventory and orders through our warehouse.
This is a hands-on position combining order processing, shipping, receiving, inventory management and warehouse organization. A key responsibility of this position is maintaining accurate inventory from the time product is received through to the time it is shipped.
The successful candidate will take ownership of the order and inventory process, helping ensure that physical warehouse inventory accurately matches our accounting and order-management systems.
Key Responsibilities
- Process dealer and customer orders accurately and efficiently.
- Allocate available inventory to orders and ensure inventory records are updated appropriately.
- Prepare orders for shipment and coordinate outbound deliveries.
- Create UPS and other courier shipments, labels and documentation.
- Pick, pack and prepare parts and accessory orders for shipment.
- Coordinate and assist with incoming freight and product deliveries.
- Receive incoming inventory and verify quantities against purchase orders and shipping documents.
- Ensure all received products are accurately entered into the company's inventory/accounting system.
- Maintain accurate inventory records and ensure physical warehouse inventory matches system inventory.
- Conduct regular cycle counts and physical inventory counts.
- Investigate and resolve inventory discrepancies.
- Track inventory adjustments and help identify the cause of recurring discrepancies.
- Maintain accurate product locations within the warehouse.
- Maintain an organized, clean and efficient warehouse.
- Ensure products and parts are properly identified,
stored and located.
- Assist with unloading containers, trucks and inbound shipments.
- Coordinate with freight carriers, couriers and delivery companies.
- Prepare shipping and receiving documentation.
- Communicate with sales, administration and purchasing regarding order, shipping and inventory status.
- Identify low-stock items and communicate inventory requirements to the appropriate team members.
- Assist with warranty parts and replacement-part shipments.
- Maintain shipping supplies and warehouse materials.
- Help develop and improve warehouse, inventory and order-processing procedures.
- Perform other warehouse and operations duties as required.
Inventory & Order Accountability
A key responsibility of this position is maintaining the integrity of the company's inventory and order flow:
Order Received → Inventory Allocated → Order Picked → Order Shipped → Inventory Updated → Discrepancies Resolved
The Warehouse & Logistics Coordinator is expected to take ownership of this process and proactively identify and correct issues that could result in inaccurate inventory, delayed orders or shipping errors.
Qualifications
- Previous experience in warehouse operations, shipping/receiving, logistics or inventory management preferred.
- Strong organizational skills and exceptional attention to detail.
- Experience maintaining computerized inventory records is strongly preferred.
- Comfortable working with computers, order-processing systems and inventory/accounting software.
- Experience with UPS or other courier shipping systems is an asset.
- Ability to manage multiple orders and priorities in a fast-paced environment.
- Robust communication and problem-solving skills.
- Able to work independently while also contributing as part of a team.
- Comfortable performing both administrative and hands-on warehouse duties.
- Forklift experience or certification is an asset.
- Ability to safely lift and move parts, accessories and warehouse materials.
What We're Looking For
We are looking for someone who takes ownership and accountability for their area of responsibility.
The ideal candidate doesn't simply process orders and move products. They pay attention to whether the information in the system accurately reflects what is physically in the warehouse and investigate when something doesn't make sense.
The right person will be equally comfortable processing an order on a computer, preparing a UPS shipment, performing an inventory count, resolving an inventory discrepancy or helping receive an incoming shipment.
Compensation
$60,000 -$70,000 annually, depending on experience and qualifications.
We offer a stable, full-time position with a growing Canadian company and the opportunity to take on greater responsibility as our dealer network and operations continue to expand.
ONLY CANDIDATES LIVING WITHIN 30 MINUTES OF MEAFORD WILL BE CONSIDERED. WILLING TO RELOCATE DOES NOT APPLY.
