Job Summary

- Administrative, operational, and field-support coordinator helping manage full-cycle property restoration claims alongside senior project managers.
- Keep insurance claims moving smoothly, maintain accurate documentation, communicate with policyholders and adjusters, and support trade and site coordination.

Responsibilities

- Claim & File Management:
- Upload and maintain accurate project documentation, work authorizations, and completion certificates into internal and external claims systems.
- Track project progress, maintain up-to-date file notes, and log daily customer communications.
- Administrative & Scheduling Support:
- Assist the project manager in planning, scheduling, and coordinating daily site activities and sub-trade workflows.
- Handle incoming correspondence, phone calls, and emails from homeowners, insurance adjusters, and vendors.
- Track project costs, assist with purchase orders, and monitor invoicing or accounts tracking.




- Estimating & Scoping Assistance:
- Support the preparation of estimates, change orders, and material procurement using industry Xactimate or XactAnalysis.
- Stakeholder Communication:
- Act as a secondary point of contact for clients, tradespeople, and insurance representatives to relay project updates.
- Help manage customer expectations and address routine inquiries.

Experience

- Proficiency with office productivity tools (Microsoft Office) and experience/exposure with restoration management software is an asset.
- Strong organizational, record-keeping, and multi-tasking skills in a quick-paced environment.
- Clear and professional written and verbal communication

Pay: $50,000.00-$60,000.00 per year
