Raven Tax

Fitzroy Harbour

Job Summary

Raven Tax Inc. is looking for an experienced, organized, and self-directed qualified to join our team in a combined personal income tax preparation, client services/administration, and bookkeeping support role.

This position is initially part-time, with the opportunity to grow into a full-time role for the right candidate as the practice continues to grow.

This is a hybrid position based in the Ottawa area, with the possibility of increased remote work for the right candidate. Applicants must reside in the Ottawa area, be available to attend in person when required, and be legally entitled to work in Canada.

This is not an entry-level tax position. We are looking for someone with a minimum of 4 years of hands-on Canadian personal income tax preparation experience who can confidently prepare T1 returns, communicate directly with clients, determine what information is required to complete a return, and keep client files moving through our workflow.

Income Tax Preparation

A significant part of this position will involve personal income tax preparation and direct client support.

Responsibilities include:

- Prepare Canadian T1 personal income tax returns accurately and efficiently.
- Review client information and determine what additional documents or information are required to complete a return.
- Identify missing tax slips, receipts, schedules, and supporting documentation.
- Communicate directly with clients regarding outstanding information and questions about their returns.
- Answer general client tax questions and explain requirements in clear, practical language.
- Guide clients on the documentation and information required to prepare their returns.
- Prepare returns involving employment, pensions, investments, self-employment, rental income, and other common personal tax situations.
- Review CRA tax information, Notices of Assessment, and other CRA correspondence where required.
- Identify discrepancies between CRA information, client-provided information, and the tax return.
- Recognize unusual or more complex tax situations and escalate them appropriately rather than making assumptions.
- Ensure files are complete and properly documented before they are finalized.
- Manage multiple tax files and deadlines during a busy tax season.

A minimum of 4 years of hands-on Canadian T1 preparation experience is required.

Experience with StudioTax Enterprise or similar professional Canadian tax preparation software is an asset.

Client Services, Administration & CRM

This position plays an important role in keeping client files organized and moving through our workflow.

Responsibilities include:

- Set up and onboard new clients in our CRM/client portal.
- Maintain accurate client information and records.
- Send tax organizers, engagement documents, electronic signature requests, and client information requests.
- Upload, download, organize, name, and properly file client documents.
- Monitor client files for outstanding information and follow up as required.
- Assist clients with questions regarding the portal, document uploads, organizers, and our processes.
- Track the progress of client files and ensure files continue moving through the appropriate stages.
- Maintain organized electronic client files.
- Assist with day-to-day administrative requirements associated with tax and bookkeeping clients.
- Help identify opportunities to improve internal processes and workflows.

We currently use TaxDome for client management and our secure client portal. Previous TaxDome experience is an asset but is not required. Experience with another CRM, tax practice management system, or secure client portal is strongly preferred.

Bookkeeping Support

You will also provide bookkeeping support to our bookkeeping team. This position works alongside our Senior Bookkeeper and is not responsible for leading the bookkeeping department.

Responsibilities may include:

- Complete bank and credit card reconciliations.
- Assist with bookkeeping catch-up and cleanup engagements.
- Review transactions for proper categorization and supporting documentation.
- Identify chart of accounts issues and transactions that appear to have been incorrectly recorded.
- Assist with HST, payroll, WSIB, and other government remittance reconciliations.
- Prepare supporting schedules and documentation.
- Assist with year-end bookkeeping preparation and working papers.
- Identify missing receipts, invoices, bills, and other supporting documentation and follow up with clients.
- Prepare bookkeeping corrections and journal entries where appropriate.
- Recognize issues that require review by the Senior Bookkeeper rather than simply processing transactions.

Strong QuickBooks Online experience is required. You should understand bookkeeping and basic accounting principles — not simply how to categorize transactions from the bank feed.

What We're Looking For

The right candidate will bring a strong combination of tax knowledge, client service, organization, and bookkeeping ability.

- Minimum 4 years of Canadian personal income tax preparation experience.
- Experience preparing T1 returns independently.
- Ability to answer general client tax questions and confidently determine what information is required to complete a return.
- Experience communicating directly with tax clients.
- Solid bookkeeping experience, preferably involving multiple small-business client files.
- Strong proficiency with QuickBooks Online.
- Understanding of bank and credit card reconciliations, HST, payroll, WSIB, journal entries, and the chart of accounts.
- Understanding of both the income statement and balance sheet.
- Experience using a CRM, client portal, practice management system, or similar software.
- Strong computer skills and the ability to learn new cloud-based applications quickly.
- Excellent written and verbal communication skills.
- Strong organizational and document-management skills.
- Excellent attention to detail.
- Ability to manage multiple client files and competing deadlines.
- Ability to work independently without constant supervision or daily check-ins.
- Good professional judgment and the ability to recognize when something doesn't look right.
- Comfortable asking questions and escalating unusual situations rather than making assumptions.
- Must reside in the Ottawa area and be able to attend in person when required.
- Must be legally entitled to work in Canada.

A CPB or PCP designation is an asset but is not required.

Who Will Do Well in This Role

You don't simply enter the documents a client gives you into a tax return. You notice when something appears to be missing, recognize inconsistencies, and know what questions to ask.

When a client asks what we need to complete their return, you can confidently explain it without needing someone else to provide you with a checklist.

When working in QuickBooks, you don't simply accept transactions from the bank feed. You understand what you're looking at and recognize when an account, transaction, reconciliation, or balance doesn't make sense.

You are comfortable communicating directly with clients, requesting missing information, following up when necessary, and keeping files moving.

You take ownership of your work and deadlines, but you also understand that asking a question is preferable to making an assumption when something is outside your knowledge or authority.

This Role Is Not for You If...

- You do not currently reside in the Ottawa area.
- You are looking for an overseas or work-from-anywhere position.
- You are still learning Canadian personal income tax preparation.
- Your tax experience has primarily consisted of basic data entry with little responsibility for the overall return.
- You are uncomfortable communicating directly with clients or answering general tax questions.
- You require someone else to determine what documents or information are missing from a routine tax file.
- You have little or no QuickBooks Online experience.
- Your QBO experience consists primarily of accepting transactions from the bank feed.
- You don't understand how transactions affect the balance sheet.
- You require detailed, step-by-step instructions for routine work.
- You need frequent supervision or daily check-ins to stay on track.
- You struggle to manage multiple client files and deadlines.

Hybrid & Remote Work

This position is initially hybrid and requires the successful candidate to be located in the Ottawa area and available for in-person work when required.

There is potential for the position to transition to primarily or fully remote work for the right candidate once they are established in the role and have demonstrated their ability to work independently and effectively within our systems and processes.

When working remotely, the successful candidate must:

- Have a private, professional workspace where confidential client information cannot be viewed or overheard by others.
- Have reliable high-speed internet.
- Be available and responsive during established working hours.
- Follow all Raven Tax Inc. privacy, confidentiality, document-handling, and information-security procedures.
- Be comfortable working within cloud-based systems and established firm workflows.

Tax season is our busiest period, and the successful candidate must be comfortable managing a higher volume of client files, communication, and deadlines during peak periods.

Firm-approved software and systems will be provided as required for the position.

Position & Compensation

- This position will initially be part-time.
- There is an opportunity to grow into full-time employment for the right candidate based on performance, fit, workload, and the continued growth of the practice.
- Compensation is dependent on experience, qualifications, and demonstrated tax and bookkeeping knowledge.
- Compensation will reflect the successful candidate's tax preparation experience, bookkeeping knowledge, client communication skills, QuickBooks Online proficiency, and ability to work independently.

Employment Requirements

Because this position involves access to highly confidential personal, financial, tax, and identity information, the successful candidate will be required to:

- Provide satisfactory professional references from previous employers or supervisors.
- Complete a satisfactory police/background check appropriate to the position as a condition of employment.
- Maintain strict confidentiality regarding all client and firm information.
- Follow all firm privacy and information-security policies.

Reference checks will be completed before employment is finalized.
