About the Opportunity

Worldwide Recruiting is seeking an experienced Legal Operations Manager based in Canada to support the leadership, operational performance, and continued development of our U.S.-based law firm clients.

This is a senior-level, hands-on legal operations management opportunity for a professional who has extensive experience working within U.S. law firm environments and understands the operational demands of managing busy legal practices.

The successful candidate will work closely with firm owners, managing attorneys, and senior leadership to ensure that legal practice departments function efficiently, staff members are properly supported, and operational procedures are consistently maintained.

We are seeking an individual who understands how legal matters progress through a U.S. law firm, from initial intake through pre-litigation, litigation, case management, and resolution, and who can use that knowledge to guide legal teams, strengthen workflows, and support management in addressing operational challenges.

This position requires someone who is comfortable taking initiative, evaluating existing processes, identifying performance or workflow concerns, and providing practical coaching and operational support to legal personnel.

The ideal candidate will bring proven operational leadership experience, excellent communication skills, and the confidence to collaborate directly with attorneys and firm management.

Key Responsibilities

Legal Practice Operations & Oversight

- Oversee and support daily operational workflows across U.S. law firm practice departments.
- Partner with firm owners, managing attorneys, and leadership teams to maintain efficient, organized, and accountable legal operations.
- Evaluate processes involving intake, pre-litigation, litigation, case management, client communication, calendaring, and matter resolution.
- Identify operational bottlenecks, procedural inconsistencies, workflow gaps, and recurring challenges.
- Recommend and implement improvements to strengthen efficiency, productivity, quality, and consistency.
- Help establish clear responsibilities, procedures, service expectations, and escalation protocols across legal support teams.
- Support effective communication and coordination between attorneys, paralegals, legal assistants, case managers, intake specialists, and administrative personnel.

Staff Leadership, Coaching & Development

- Provide ongoing guidance, coaching, and operational support to legal support personnel.
- Assist management in identifying training needs, performance challenges, and opportunities for staff development.
- Develop and implement SOPs, training resources, workflow guides, checklists, and standardized procedures.
- Support the onboarding, training, and continued development of legal support staff.
- Help team members improve task management, prioritization, communication, case handling, and adherence to established workflows.

- Work collaboratively with firm leadership and supervisors to address operational concerns and reinforce accountability.
- Promote a supportive, organized, and performance-focused environment across remote legal teams.

Management Partnership & Operational Improvement

- Serve as a trusted operational partner to law firm management.
- Provide leadership with meaningful insight into departmental performance, workflow challenges, staffing considerations, and improvement opportunities.
- Participate in operational planning, management meetings, and process improvement initiatives.
- Assist with implementing new procedures, departmental changes, and operational priorities.
- Translate management objectives into transparent workflows, practical action plans, and measurable expectations.
- Identify opportunities to strengthen coordination between departments and improve the overall efficiency of the legal practice.
- Support operational projects that improve consistency, scalability, and long-term firm performance.

Performance Management & Quality Assurance

- Monitor operational KPIs, workflow completion, productivity, service levels, and team performance indicators.
- Review case-management processes, task tracking, and operational procedures to identify inefficiencies or potential risks.
- Assist management with evaluating recurring quality concerns, process failures, and performance challenges.
- Recommend corrective measures, coaching, additional training, or procedural improvements.
- Prepare reports, spreadsheets, dashboards, and operational summaries for firm leadership.
- Help maintain consistent standards for accountability, accuracy, responsiveness, and workflow execution.

Legal Systems, Technology & Process Development

- Evaluate and improve the use of legal case-management systems, practice-management platforms, CRMs, and related technology.
- Develop, document, implement, and maintain SOPs, operational policies, standardized workflows, and internal process documentation.
- Identify opportunities for automation, system optimization, and improved information management.
- Support system implementations, migrations, integrations, and process transitions.
- Assist with improving reporting, case tracking, task management, documentation, and internal communication.
- Help ensure legal teams are using firm technology and operational systems effectively and consistently.
