Part-Time or Full-Time | Family Medicine Clinic | Calgary, AB
Vietnamese language proficiency is a strong asset
Overview
We are seeking a highly organized and experienced Clinic Manager to oversee daily operations of our busy family medicine practice. Our clinic serves a diverse patient community, with approximately 75% of patients being Vietnamese-speaking, making cultural sensitivity and Vietnamese language proficiency a meaningful asset in this role.
The ideal candidate will bring strong leadership, a solid understanding of medical office procedures, and demonstrated proficiency with electronic medical records systems such as AVA EMR. This position requires a professional who can manage staff, coordinate with a broad network of external vendors and service providers, ensure regulatory compliance, and maintain a high standard of patient care.
The Clinic Manager serves as the operational backbone of our practice — supporting physicians and learners, keeping vendor relationships running smoothly, and creating a welcoming environment for both patients and staff.
Key Responsibilities
Clinical & Administrative Operations
- Supervise daily clinic operations including patient scheduling, billing, and administrative tasks
- Manage AVA EMR and other electronic systems to ensure accuracy and compliance with privacy regulations (PIPEDA, PIPA)
- Coordinate with clinical staff to maintain adherence to medical terminology standards and best practices
- Assist in resolving patient concerns or complaints promptly and professionally
- Maintain inventory of medical supplies and equipment
Staff & Human Resources
- Oversee HR functions including hiring, onboarding, training, performance evaluations, and staff development
- Orient new physicians and medical learners (students, residents) to clinic workflows, systems, and culture
- Foster a cooperative and inclusive team environment that reflects our patient community
Vendor & External Contractor Management
- Oversee cleaning service contract: conduct regular quality checks,
document deficiencies, and provide structured feedback to maintain hygiene standards
- Serve as primary point of contact with IT providers: troubleshoot hardware and software issues, escalate as needed, and coordinate timely resolution to minimize clinic downtime
- Liaise with telecommunications provider (Rogers) to monitor call system performance, ensure calls are being answered appropriately, and troubleshoot connectivity issues
- Collaborate with the EMR vendor (AVA) to identify and implement workflow enhancements and efficiency improvements
- Work with advertising and marketing partners to promote the clinic, coordinate campaigns, and ensure messaging reflects the clinic's values and patient demographics
- Partner with the website/IT company to keep the clinic website current, accurate, and functional
- Manage relationships with any other subcontractors or service providers the clinic engages
Finance & Compliance
- Oversee budgeting processes including expense management and resource allocation
- Coordinate and process clinic payments to physicians in an accurate and timely manner
- Ensure compliance with healthcare regulations and accreditation standards
- Implement policies to improve workflow efficiency and patient satisfaction
- Facilitate communication between medical professionals, administrative staff, and patients
Qualifications_ Required_
- Experience in medical or healthcare office management strongly preferred
- Supervisory or leadership experience within a healthcare or clinical setting

- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills for coordinating across diverse teams, patients, and external partners
- Adaptability and problem-solving ability when navigating changing clinic needs

- Fluency or proficiency in Vietnamese — strongly preferred given our patient population
- Background in human resources including staffing, training, and performance management
- Experience with budgeting and financial oversight in a clinical environment
- Hospital or acute care setting experience
- Knowledge of nursing practices or clinical workflows
Personal Qualities
- Proactive and self-motivated — able to identify needs and take initiative without being prompted
- Comfortable working independently while knowing when to seek clarification and ask the right questions
- Self-aware about the limits of their knowledge, but resourceful in finding solutions and answers
- Open-minded and genuinely enthusiastic about learning new skills and growing with the role
