Fleet Reliability & Support Specialist (MaintainX System Administrator)
Department: Operations

Employment Type: Permanent - Full Time

Location: Remote - Canada

Description
What You'll Do:

Own the day-to-day configuration and governance of MaintainX: asset hierarchy, PM templates, failure coding library, work order types, user access, and system settings

Develop, document, and maintain the maintenance processes and standard operating procedures that govern how work is planned, executed, and recorded across the FPG team

Monitor system usage and work order completion quality; identify gaps in adherence, incomplete records, or process deviations and address them constructively with the relevant team member

Provide day-to-day support to FPG team members using MaintainX: troubleshoot system issues, answer process questions, and onboard new users

Maintain MaintainX data quality to the ≥95% completeness standard; incomplete or inaccurate records directly undermine the team’s KPI reporting

Develop and run regular MaintainX reporting to support FPG performance reviews, governance cadences, and the FPG Manager’s monthly dashboard

Support commissioning handovers: ensure Baseline Capture records are complete and correctly structured before any unit enters Production mode

What We'll Love About You:

You take personal pride in a well-configured system. The correct hierarchy, the right failure codes, the right PM interval all matter to you, and you notice when they’re wrong.

You are the person people come to when the system does something unexpected, and you know exactly where to look.

You write clear, practical documentation that people actually follow, not because they have to, but because it makes the job easier.

You hold others to the data standard constructively. You can tell a field tech their work order is incomplete without making it a confrontation.

You are curious about the maintenance workflows you govern.

You want to understand why a PM exists, not just that it does.

Key Responsibilities:

Configure and govern MaintainX as the system of record: complete, accurate asset hierarchy, failure codes, PM library, and work order standards before FPG goes live

Develop the minimum viable SOP package for FPG launch: work order closure standards, PM execution procedures, and user training materials

Achieve and maintain ≥95% MaintainX data completeness across all active work orders and asset records

Deliver a monthly MaintainX data quality report to the FPG Manager identifying gaps, trends, and improvement actions

Support Baseline Capture for every new unit entering Production mode: verify configuration records are complete before status change

Train all new FPG team members on MaintainX processes and standards during onboarding

Continuously improve the system: propose and implement changes to templates, workflows, and configuration as the fleet and team’s needs evolve

Travel Requirements:

Minimal, there will be occasional travel to offices or sites for onboarding, training, or system roll‑out support (estimated

Skills, Education, and Experience:
Must Have Skills, Education, and Experience:

Strong IT skills with demonstrated experience administering a CMMS, EAM, or similar maintenance/asset management platform (MaintainX experience strongly preferred and will be prioritized)

Experience developing maintenance processes, SOPs, or work management procedures in writing,

with the ability to produce documentation that field and technical staff actually follow

Systematic, detail‑oriented approach to data quality: experience identifying and resolving data completeness gaps in an operational system

Experience training and supporting non‑technical users on operational software, including troubleshooting user issues and answering process questions

Ability to hold others to a process standard constructively, since this role requires influencing without authority

Comfortable in a desk‑based, remote, or office role with no regular field requirement

Assets:

Preference for candidates based in Calgary that can work in office on a hybrid basis

Hands‑on maintenance or field operations experience. Not required, but it makes the SOPs you write far more credible and practical.

Experience in mining, oil & gas, construction, or any asset‑intensive industry with structured maintenance programs

MaintainX admin‑level experience (not just user‑level): configuring asset hierarchies, PM schedules, failure codes, and reporting

Experience with reliability‑centered maintenance (RCM) or similar structured maintenance frameworks

Basic reporting or data analysis skills: ability to export, query, and summarize MaintainX data for performance reporting

Familiarity with ISO 55000 (asset management) or similar standards
