Job Summary:

We are seeking a Senior Program Manager to lead the firm’s most complex cross-functional programs and help mature its Project Management Office. Working directly with the Director of Product Management, this person will turn the firm’s strategic initiatives into delivered results, including day-to-day leadership of large-scale, multi-year enterprise initiatives.

This is a hands-on, highly visible role carrying three connected mandates. First, this person runs enterprise programs that touch the product function, such as system implementations, platform changes, vendor transitions, and new product launches that require coordination across Product, Technology, Operations, Finance, Compliance, Marketing, and Sales. Second, this person operates the PMO day to day, owning the project portfolio in monday.com, supporting the Business Analyst team in running their projects, and producing the status reporting the Executive Leadership Team (ELT) relies on. Third, this person manages vendors and third parties and serves as an early-warning system for the portfolio, spotting risks and issues, tracing their upstream and downstream impacts, and driving them to resolution before they delay a project. Success in this role requires learning the firm’s business quickly and having the confidence to lead the room at every level, from individual contributors to executive and board sponsors.

Duties/Responsibilities:

Program & Project Delivery

Serve as day-to-day program manager for large, multi-phase enterprise initiatives, owning the integrated program plan, schedule, milestones, and critical path

Coordinate workstream leads across operations, client service, and technology teams, keeping cross-workstream dependencies visible and resolved

Run go-live readiness for major implementations and releases, including go/no-go criteria, cutover planning, sign-off checkpoints, post-launch support, and lessons learned

Lead other cross-functional programs that touch the product function, such as platform transitions and third-party vendor engagements

Coordinate multi-function readiness for new product and fund launches

Build and maintain integrated project plans covering scope, milestones, dependencies, resourcing, and budget, and re-baseline with clear rationale when conditions change

PMO Operations, Portfolio Reporting & monday.com

Serve as the PMO’s monday.com lead, maintaining project templates, portfolio boards, dashboards, and automations so that every PMO-managed project is planned and reported the same way

Coach and support the Business Analyst team in running their projects in monday.com, including setting up project boards, structuring tasks, milestones, and dependencies, and keeping status current

Maintain the master portfolio view of the firm’s annual strategic initiatives, tracking progress against milestones and objectives and giving ELT accurate, timely visibility into status, risk, and resourcing

Support a broad portfolio of initiatives, including new product launches, process automation, and third-party integrations

Prepare and deliver decision-ready updates for steering committees and ELT, including status reports, dashboards, and escalation memos that state the decision needed

Help define and roll out PMO standards scaled to project size, including intake and prioritization criteria, stage gates, templates, RAID logs, change control, and other organizational process assets

Track resource capacity and cross-project conflicts, and bring tradeoff recommendations to the Director of Product Management

Vendor, Risk & Stakeholder Management

Manage day-to-day relationships with implementation partners, software vendors, service providers, and contractors, holding them to agreed deliverables, timelines, statements of work, and change control

Track vendor performance against contract milestones, elevate gaps early, and support contract changes and vendor transition planning

Own the RAID log (risks, assumptions, issues, dependencies) for assigned programs; identify risks early, assess their upstream and downstream impact on funds, clients, operations, and systems, and drive mitigation plans to closure

Act before problems become delays: frame options, bring the right people together, and secure decisions before timelines, client commitments, or regulatory obligations are affected

Coordinate with Compliance, Legal, Information Security, and Finance on vendor due diligence, data security, budget tracking, and regulatory considerations

Lead program meetings, from working sessions and stand-ups to steering committees, with clear agendas, documented decisions, and owned action items that are followed through

Adapt communication to the audience: outcomes, decisions, and risk for board and executive sponsors; dependencies and resourcing for function leaders; tasks and deadlines for individual contributors

Speak up: challenge assumptions, call out slippage plainly, and hold owners accountable without direct authority

Stakeholder Engagement

The Senior Program Manager will work in close partnership with a broad set of internal and external stakeholders, including:

Director of Product Management: program priorities, escalations, and PMO direction

Executive Leadership Team: strategic initiative status, decisions, and risk escalation

Program Steering Committee & Workstream Leads: integrated plans, readiness, go/no-go decisions, and cross-workstream dependencies

Business Analyst Team: monday.com enablement and project planning support

Software Development, Technology & IT: delivery plans, environments, testing, and release readiness

Operations & Client Services: workflow validation, readiness, and change management

Finance, Compliance & Legal:

budget tracking, vendor contracts, and regulatory review

Revenue, Sales & Marketing: launch readiness and coordination with marketing on client-facing communications and campaign timelines

Vendors & Third-Party Partners: implementation delivery, statement-of-work performance, and transition or exit planning

Client Boards & Key Clients: supporting materials and readiness for client-impacting changes, as needed

Required Skills/Abilities:

Program Leadership: Keeps complex, multi-year initiatives on schedule and on scope across many workstreams

Organization & Administration: Brings structure, documentation discipline, and reliable follow-through to every project

Risk Anticipation: Sees issues coming, understands their ripple effects across the business, and acts before they become delays

Vendor Management: Holds third parties accountable to commitments while maintaining productive working relationships

Multi-Level Communication: Tailors the message to the audience, from board sponsors and ELT to individual contributors, and is comfortable being the voice in the room

Learning Agility: Quickly learns the firm’s products, clients, and operating model well enough to make sound calls

Cross-Functional Influence: Aligns Product, Technology, Operations, Finance, Compliance, Sales, and Marketing without direct authority over them

A track record of identifying risks and issues early, tracing their upstream and downstream impacts, and driving mitigation to resolution

Strong meeting facilitation and communication skills, with confidence presenting to executive and board-level audiences

Highly organized, with solid administrative discipline in documentation, follow-through, and keeping plans and status current

Advanced proficiency with a work management platform (monday.com strongly preferred; Smartsheet, Asana, or Microsoft Project considered) and Microsoft Office

Education and Experience: ** **

8+ years of project or program management experience, including at least 3 years leading multi-workstream, cross-functional programs such as system implementations or platform changes

Proven experience managing third-party vendors and implementation partners, including statements of work, deliverables, and change requests

Working knowledge of asset management, banking, fixed income, fund administration, or a similarly regulated financial services environment

Experience with waterfall, Agile, and hybrid delivery methodologies

Bachelor’s degree required

Preferred

Experience serving public-sector or institutional clients

Experience implementing or upgrading enterprise systems in financial services

monday.com administration experience, including dashboards, automations, and integrations with tools such as Jira

Experience building or maturing a PMO

PMP, PgMP, or equivalent project management certification

Physical Requirements: Must be able to work at a computer for long periods of time. Lift up to 15 lbs.
