Overview
We are seeking a proactive and detail-oriented Clinic Operations Manager to oversee the daily operations of our physiotherapist and wellness facility. This role is crucial in ensuring that our clinic runs smoothly and efficiently, providing excellent patient care while managing administrative tasks. The ideal candidate will have a strong background in office management, customer service, and experience within a physiotherapist or medical office environment.
Duties
- Welcome patients, manage front desk check-in, and provide clear directions about next steps
- Answer and manage phone calls, emails, respond to routine questions, and relay messages promptly
- Schedule appointments, update electronic medical records, and maintain accurate, organized patient information
- Process payments and billing
- Maintain and track clinic inventory
- Provide outstanding customer service to all patients
- Communicate effectively with patients and therapists
- Manage daily clinic operations, ensuring compliance with health regulations and policies
- Provide exceptional customer support, fostering a welcoming environment for patients
- Proofread documents for accuracy before distribution
- Coordinate with clinical and administrative colleagues to support daily office operations and timely patient service.

Qualifications and Skills (Preference will be given to candidates who meet the following criteria)
- Minimum 2 years’ experience in a medical office, hospitality, or customer service role (physiotherapy clinic experience preferred)
- Familiarity with Jane App or another EMR system
- Strong computer skills and ability to learn new software quickly
- Excellent phone manner, communication, and interpersonal skills
- Ability to work with minimal supervision while maintaining professionalism
Pay: $18.00-$20.00 per hour
Expected hours: 15.0 – 25.0 per week
