EVENT TEAM LEAD - Event Production - Decor Installation - Warehouse - Team Leadership
Full-Time | Hands-On / Physically Demanding Role
ABOUT US
We work on weddings, corporate events, celebrations, and large-scale installations, bringing our clients' designs and visions to life through our decor, florals, rentals, and production services.
We are looking for an experienced, highly capable Event Team Lead to join our team.
This is a unique role that combines team leadership, event production, decor installation, construction/building, warehouse operations, logistics, and physical labour.
We are looking for someone who can confidently take ownership of an event from start to finish — from preparing and loading the truck, to leading the crew at the venue, completing the installation, troubleshooting issues, overseeing teardown, loading everything back onto the truck, and ensuring inventory is properly returned and organized.
IMPORTANT: THIS IS A PHYSICAL ROLE
This is NOT a primarily desk-based event coordinator position.
A significant majority of this role involves physical, hands-on work, particularly setting up and taking down events at venues.
You will spend a large portion of your time on your feet, moving, lifting, carrying, loading, unloading, assembling, installing, dismantling, building, and organizing event equipment and decor.
You must be physically strong and comfortable with demanding work.
The successful candidate must be able to safely lift and carry up to 50 lbs repeatedly and be comfortable performing physical work for extended periods of time.
If you enjoy working with your hands, building things, solving physical problems, working with tools, and being active rather than sitting behind a desk, this could be a great fit.
THE ROLE
As our Event Team Lead, you will be responsible for leading event crews and overseeing the physical execution of weddings and events.
You will be the person who takes charge on-site and ensures the event is executed properly, efficiently, safely, and to our company's standards.
You will need to be comfortable making decisions independently, delegating work, troubleshooting unexpected problems, communicating with venues and vendors, and physically jumping in to help your team complete the job.
We are looking for someone who can look at an event and think:
"I know what needs to happen, and I'll make sure it gets done."
KEY RESPONSIBILITIESEVENT SETUP & INSTALLATION
A major part of this position is physically setting up events at various venues.
Responsibilities include:
- Leading and participating in full event setups.
- Reviewing event orders, floor plans, design plans, photos, timelines, and setup instructions before arriving on-site.
- Organizing the crew and delegating tasks.
- Loading and unloading trucks.
- Transporting decor, furniture, florals, equipment, structures, and rental items into venues.
- Setting up tables, chairs, linens, chargers, decor, backdrops, arches, draping, stages, lighting, florals, signage, structures, and other event elements.
- Installing ceiling decor, hanging elements, draping, lighting, and other installations when required.
- Assembling structures, stands, frames, backdrops, stages, and other decor pieces.
- Ensuring installations are secure, level, straight, visually appealing, and completed according to the design.
- Working closely with venue staff, planners, coordinators, DJs, caterers, and other vendors when necessary.
- Completing final walkthroughs to ensure the event is ready before guests arrive.
- Identifying and correcting anything that does not meet company standards.
EVENT TEARDOWN & LOAD-OUT
Teardown is equally important and is a major part of the position.
Responsibilities include:
- Must be able to work on weekends and night shifts as well for take down jobs.
- Leading and participating in event teardowns.
- Dismantling decor, structures, backdrops, stages, draping, lighting, florals, furniture, and other installations.
- Carefully packing rental items and decor.
- Loading trucks efficiently and safely.
- Ensuring all rental items are accounted for before leaving the venue.
- Communicating with venue staff during load-out.
- Ensuring the venue is left clean and properly restored.
- Transporting inventory back to the warehouse.
- Unloading, sorting, cleaning, and properly storing returned inventory.
Event teardowns may take place late at night or overnight, depending on the event schedule, so flexibility is essential.
TEAM LEADERSHIP
You will be responsible for leading our event crews and ensuring the team works efficiently and professionally.
Responsibilities include:
- Leading setup and teardown crews.
- Delegating tasks based on the event requirements and each team member's abilities.
- Keeping the team organized and on schedule.
- Making sure everyone understands their responsibilities.
- Leading by example and actively participating in the physical work.
- Training and mentoring newer team members.
- Monitoring the quality of the team's work.
- Addressing issues with team members professionally.
- Ensuring safety procedures are followed.
- Communicating progress and issues to management.
- Taking responsibility for the overall success of the event setup and teardown.
We are looking for a hands-on leader — someone who will work alongside the team rather than simply stand back and give instructions.
CONSTRUCTION, BUILDING & REPAIRS
A strong candidate will be very handy and comfortable building and fixing things.
Responsibilities may include:
- Building and assembling decor structures.
- Constructing backdrops, frames, stands, stages, and other installations.
- Making modifications to existing rental items.
- Repairing damaged or broken decor pieces.
- Troubleshooting structural or installation issues.
- Using hand tools and power tools.
- Measuring and cutting materials when required.
- Making on-site adjustments when something doesn't fit or work as planned.
- Finding practical solutions to unexpected installation challenges.
- Assisting with custom builds and fabrication projects.
Construction, carpentry, renovation, fabrication, staging, theatre production, trades, or similar hands-on experience is highly preferred.
You don't necessarily need to be a professional tradesperson, but you should be someone who is naturally mechanically inclined, practical, resourceful, and confident working with tools.
WAREHOUSE & INVENTORY
The Event Team Lead will also play an important role in maintaining our warehouse and rental inventory.
Responsibilities include:
- Pulling rental inventory for upcoming events.
- Preparing and organizing orders.
- Checking inventory against event orders and packing lists.
- Loading trucks efficiently.
- Unloading trucks after events.
- Sorting and returning inventory to its proper location.
- Cleaning and maintaining rental items.
- Identifying damaged, missing, or broken inventory.
- Assisting with repairs and maintenance.
- Keeping the warehouse organized and safe.
- Helping improve warehouse organization and inventory systems.
- Ensuring equipment, tools, decor, and supplies are properly stored.
- Preparing inventory for upcoming events.
You should be comfortable with the physical nature of warehouse work and be able to move and organize heavy and oversized items.
LOGISTICS & PROBLEM SOLVING
Events rarely go exactly according to plan. We need someone who can stay calm and figure things out.
You will be expected to:
- Review event details before each job.
- Ensure the correct items are loaded onto the truck.
- Plan the most efficient order for loading and unloading.
- Work within venue access, loading, elevator, and setup restrictions.
- Manage tight setup and teardown timelines.
- Make decisions when unexpected issues arise.
- Troubleshoot missing, damaged, broken, or incorrect items.
- Adapt when a venue, client, planner, or timeline changes.
- Communicate issues to management quickly.
- Find practical solutions without creating unnecessary stress for the client or team.
We need someone who is a problem solver, not someone who freezes when something goes wrong.
WHAT WE ARE LOOKING FOR
The ideal candidate is:
- A natural leader.
- Extremely hands-on and enjoys working with their hands.
- Physically strong and capable.
- Comfortable performing repetitive physical labour.
- Mechanically inclined and good at figuring out how things work.

- Confident building, assembling, repairing, and modifying items.

- Willing to jump in and help wherever needed.
- Professional and respectful when representing the company.
- Comfortable working in fast-paced environments.

Most importantly, we want someone who takes ownership.
If something needs to be moved, you move it.
If something needs to be built, you figure it out.
If something breaks, you find a solution.
If the team is behind, you organize them.
If the plan changes, you adapt.
If the job needs to get done, you get it done.
