North End

We’re growing, and we’re looking for the right person to become the heartbeat of our office.

This is not a quiet, sit-at-your-desk-and-do-one-thing-all-day kind of role.

Our office is busy, fast-paced, people-focused, and fun. We work with business owners, entrepreneurs, tax clients, bookkeeping clients, and a whole lot of moving pieces. We’re looking for someone who genuinely enjoys people, loves being organized, takes initiative, and can help keep everything flowing.

As our Office Coordinator, you’ll be one of the first people our clients interact with and one of the people our team depends on most.

What You’ll Be Doing

Your day may include:

- Greeting and meeting with clients in the office
- Answering phones, emails, and general client inquiries
- Booking and managing appointments
- Keeping calendars organized and schedules moving
- Helping clients get the documents and information we need
- Supporting document intake and client file organization
- Keeping the office organized, stocked, and running smoothly
- Supporting our bookkeeping and tax teams with administrative tasks
- Following up with clients when information is outstanding
- Helping make sure nothing falls through the cracks
- Assisting with day-to-day office operations
- Jumping in wherever needed to help the team

Basically, you’re the person helping keep the whole machine moving.

Confidentiality & Client Information

Because of the nature of our work, this role involves regular access to sensitive and confidential client information, including financial records, tax documents, personal information,

CRA correspondence, and business information.

We need someone who understands that confidentiality is not optional.

You must be:

- Discreet and professional at all times
- Comfortable handling sensitive personal and financial information
- Careful with documents, emails, files, and client communications
- Able to follow privacy and confidentiality procedures
- Trustworthy and respectful of client information both inside and outside the office
- Detail-oriented when receiving, storing, and sharing confidential documents

A strong sense of professionalism and good judgment is extremely important in this role.

Who We’re Looking For

You’ll probably be a great fit if you are:

- Friendly, warm, and professional
- Extremely organized
- Comfortable working in a fast-paced environment
- Confident speaking with clients in person, on the phone, and by email
- A strong communicator
- Detail-oriented
- Comfortable using email, Microsoft Office, calendars, and general office technology
- Someone who takes initiative instead of waiting to be told every next step
- A natural problem-solver
- Dependable and able to manage multiple priorities
- Someone who enjoys working as part of a team

- Comfortable with a little bit of organized chaos
- Trustworthy and comfortable working with highly confidential information

Experience in an accounting, bookkeeping, qualified services, or client-facing office is an asset, but it is not the only thing we care about.

We care a lot about personality, attitude, reliability, discretion, and whether you naturally make things easier for the people around you.

What It’s Like Working With Us

We are a growing group of businesses with a strong focus on helping small business owners understand and manage their numbers.

Our environment is:

- Fast-paced
- Supportive
- Flexible
- Client-focused
- Collaborative
- Fun
- Never especially boring

There are also opportunities to grow into other roles as our companies continue to expand.

This is an in-office position in Halifax. There is flexibility within the role, but this is not a remote or hybrid position.

Pay: $20.00-$25.00 per hour

Benefits:

- Flexible schedule
- On-site parking

Application question(s):

- Are you able to work in-office in Halifax during our regular business hours?

This position involves handling confidential tax, financial, personal, and business information every day. Are you comfortable working with highly sensitive information and following strict confidentiality procedures?
How comfortable are you speaking with clients in person, over the phone, and by email? Please briefly describe your client-service experience.
