About AGL
AGL has served clients for over 37 years through two divisions, each with its own location in Stoney Creek.
- AGL Grass (Artificial Grass & Landscaping Inc.) is one of North America's most trusted providers of premium artificial grass solutions, with low-maintenance, high-performance products for residential and commercial landscapes.
- AGL Surfaces is our architectural surfaces division. Its portfolio includes Sintered Stone, Natural Textured Stone, Nano-Crystallized Glass and Architectural Panels, serving architects, interior designers, builders, contractors, fabricators and homeowners.
The Opportunity
We are hiring one Administrative & Showroom Coordinator to support both AGL Grass and AGL Surfaces. You will welcome clients and design professionals in the Galleria, and keep the office running behind the scenes: orders, records, scheduling, pricing, inventory and purchasing support.
The role suits someone who is organized, friendly and equally comfortable with customer-facing work and detail-focused administration. You do not need to know our products on day one; we will teach you.
Key Responsibilities
Showroom and clients
- Welcome and assist homeowners, architects, designers, builders, contractors and fabricators visiting the Galleria.
- Build product knowledge across both divisions: artificial grass and landscaping products, plus sintered stone, natural textured stone, nano-crystallized glass and architectural panels.
- Help clients with product, colour, finish and sample selection.
- Keep the showroom and sample library clean, organized, current and fully stocked.
- Prepare samples, product information and presentation materials for client meetings.
Administration and coordination
- Answer and direct phone calls and emails with professionalism and accuracy.
- Respond to web inquiries in a timely manner with product knowledge.
- Schedule appointments, tours, presentations and sales meetings, and manage calendars for the sales team and management.
- Maintain accurate client,
project and communication records in the CRM.
- Coordinate information between sales, estimating, warehouse and management.
- Handle general office duties and provide executive support when needed.
Orders, pricing and inventory
- Support order processing and quoting, and handle data entry and reports.
- Create and maintain price lists for both divisions.
- Set up and maintain inventory records, and run regular stock counts.
- Support purchasing: monitor stock levels and inventory support.
Sales and marketing support
- Track leads, quotes and follow-ups for the sales team.
- Keep marketing activity organized and support social media and promotional content.
- Assist with showroom events, product launches, training sessions and client presentations.
What You Bring
- At least 5 years of administrative experience, such as administrative support, reception or similar customer-facing office roles, including business-to-business (B2B) experience with contractors, builders, designers or suppliers.
- Strong accuracy and attention to detail with data entry, price lists, inventory records and orders.
- Confidence with spreadsheets and basic arithmetic, and proficiency in Microsoft Office (Word, Excel, Outlook), and comfort learning CRM and other business systems.
- Excellent organization and time management, and the ability to manage several tasks at once in a fast-paced environment.
- Strong verbal and written communication skills with professional phone etiquette.
- Follow-through: you are comfortable chasing colleagues and suppliers for information until the job is done.
- An outgoing, friendly and team-oriented personality:
you greet every visitor warmly, make them feel welcome and match the energy of our showroom, dressed professionally for the Galleria.
Experience That Would Be an Asset
- CRM, quoting, order processing, purchasing or inventory experience, including QuickBooks or similar accounting software.
- Experience in a showroom, design or building-materials environment.
- Knowledge of landscaping, outdoor living, interior design, architecture, or surface materials such as stone, glass, tile, countertops or flooring.
- Familiarity with Canva and other design software, CAD or reading architectural drawings.
- Post-secondary education in administration, design or a related field (a high school diploma or equivalent is required).
The Right Person
We are looking for someone who is organized, polished, outgoing, personable and curious, and who takes ownership of their work. You enjoy helping clients, you keep details accurate, and you like knowing everything is on track.
You do not need to know everything about our products on day one, because we can teach product knowledge. What we need is administrative discipline, reliability, professionalism and the personality to become a valued part of our team.
