Executive Assistant to the President
The Opportunity
Sterling Industries is looking for an exceptional individual to work directly alongside our President and support a growing group of companies and business interests.
This is not a traditional administrative assistant position.
We are looking for someone who can become a trusted right hand to the President — someone who understands priorities, sees the bigger picture, follows through, keeps things moving, and can operate effectively in a fast-paced entrepreneurial environment.
Today, the role will involve supporting activities across four different companies, with additional businesses, investments, projects, and opportunities expected in the future.
The right person does not need to arrive knowing everything.
What matters more is your ability to learn quickly, think critically, understand workflows, organize complexity, use good judgment, and take ownership.
You should be the type of person who hears, “We need to get this done,” and immediately begins figuring out how.
What This Role Looks Like
You will work closely with the President across multiple companies and priorities.
One hour you may be helping prepare information for a business meeting. The next you may be coordinating with an employee, accountant, lawyer, bank, vendor, customer, or contractor.
You may be organizing a project, researching an opportunity, reviewing documentation, following up on outstanding items, preparing a meeting, improving a workflow, or making sure something important does not fall through the cracks.
This position requires someone who can move between details and strategy without losing sight of either.
Responsibilities may include:
- Supporting the President across multiple companies and business interests
- Managing priorities, follow-ups, deadlines, meetings, and action items
- Helping organize and coordinate projects across different companies and departments
- Understanding workflows and identifying where information, approvals, or decisions are getting stuck
- Preparing documents, reports, summaries, presentations, and meeting materials
- Coordinating communication with employees, customers, vendors, accountants, lawyers, banks, municipalities, and other professional partners
- Following up on commitments and ensuring important items are completed
- Conducting research and gathering information to support business decisions
- Maintaining organized digital records, files, correspondence, and project information
- Helping build and improve internal systems, processes, templates, and workflows
- Assisting with scheduling, travel, meetings, events, and executive logistics when required
- Using technology and AI tools to improve organization, communication, research, and productivity
- Identifying issues before they become problems
- Handling confidential business and personal information with discretion
- Taking on new responsibilities as the companies continue to grow
Who We Are Looking For
We are less concerned about finding someone with a perfect résumé and more interested in finding someone with the right ability, attitude, intelligence, judgment, and work ethic.
You may be a great fit if you:
- Are a fast learner
- Have a solid sense of urgency
- Are highly organized without needing constant direction
- Naturally follow through on things
- Can manage several priorities at the same time
- Think beyond the immediate task and consider the bigger picture
- Ask good questions and understand why something is being done
- Are comfortable working with several businesses at once
- Can take incomplete information and figure out the next logical step
- Are confident communicating with executives, employees, customers, and professional advisors
- Are comfortable respectfully reminding people when something needs to get done
- Can distinguish between something that can wait and something that needs attention immediately
- Are technologically capable and willing to learn new software quickly
- Are comfortable using modern tools, including Microsoft 365 and AI
- Are professional, dependable, and discreet
- Take ownership rather than waiting to be told every next step
- Want responsibility and enjoy becoming increasingly valuable to an organization
The Mindset Matters
We are looking for someone who thinks:
“What needs to happen next?”
Not:
“What am I supposed to do now?”
The strongest candidate will eventually develop enough understanding of the President's priorities and the businesses that they can anticipate needs, recognize risks, and help move things forward before being asked.
This requires judgment.
Some things are urgent.
Some things are important.
Some things can wait.
Being able to understand the difference is critical to this position.
Qualifications
Experience in executive assistance, business administration, project coordination, operations, accounting administration, legal administration, office management, or a similar environment would be beneficial.
However, we encourage applications from strong candidates who may not check every traditional qualification.
Assets include:
- Post-secondary education in business, administration, finance, accounting, management, communications, or a related field
- Executive assistant or senior administrative experience
- Project coordination or project management experience
- Strong Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint skills
- Experience working with QuickBooks or other accounting/business software
- Experience with AI productivity tools
- Strong written communication skills
- Experience working with confidential or commercially sensitive information
- Experience supporting an entrepreneur, executive, owner,
or multiple businesses
A lack of experience in one of these areas will not necessarily disqualify an otherwise exceptional candidate.
What Success Looks Like
After becoming established in the position:
- The President is spending less time chasing information and administrative details.
- Important commitments and follow-ups are rarely missed.
- Meetings are better prepared.
- Information is easier to find.
- Projects move forward faster.
- Communication between people improves.
- Problems are identified earlier.
- Priorities remain organized even when the business gets busy.
- You understand the companies well enough to know who needs to be involved and what needs to happen next.
- The President can hand something to you and trust that it will be carried through.
Ultimately, success means becoming someone the President can confidently say:
“Take care of this.”
And know that it will be handled.
