Expected Hours: Approximately 40 hours per week

Job Overview
We are seeking an experienced, proactive and highly organized Senior Dental Office Manager to oversee two established dental practices along Toronto's downtown waterfront. The position is primarily based at our main location, with additional oversight of a second nearby practice.
Our privately owned practices provide comprehensive general dentistry, supported by a team of associate dentists, dental hygienists, dental assistants and administrative professionals. Our associates provide a broad range of general dental services, including restorative dentistry, preventive care and root canal treatments.
In addition, our practice owners provide advanced surgical, implant and prosthodontic treatments, including complex wisdom tooth surgery, procedures involving moderate sedation or general anesthesia, implant surgery, full arch implant rehabilitation (All on X), comprehensive crown and bridge rehabilitation and cosmetic dentistry.
With multiple clinicians working across different schedules, successful practice management requires excellent organization, communication and coordination. The practice owners maintain active clinical schedules while relying on the management team to independently oversee daily operations.
We are looking for a hands on leader who takes ownership, leads by example and is willing to step in wherever needed to help our practices succeed.
This is not simply a supervisory position. We value someone who can train and guide employees, demonstrate initiative, solve problems and personally assist when circumstances require it.

- Oversee daily operations at both practices, ensuring efficient scheduling, staffing and administrative workflows.
- Lead, mentor and train clinical and administrative teams, including recruitment, onboarding, performance management and conflict resolution.
- Coordinate schedules across multiple associate dentists, hygienists and clinical providers to maximize efficiency and continuity of patient care.
- Foster a professional, respectful and accountable workplace culture.
- Independently identify operational challenges, implement solutions and follow through on outstanding responsibilities.
- Lead by example: Actively assist staff when needed, whether contacting patients regarding outstanding balances, helping fill appointment openings, answering calls or resolving administrative issues.
- Maintain clear communication with practice owners regarding operational performance, staffing, financial matters and significant decisions.
Financial and Administrative Management
- Coordinate staff payroll, employee hours, direct deposit setup and related payroll administration.
- Organize vendor invoices, banking information and payment arrangements, with appropriate verification and final payment approval by the practice owners.
- Maintain organized financial documentation and coordinate required records, reports and year end information with our external accountant and bookkeeper.
- Oversee accounts receivable, patient billing, insurance coordination and collections, personally assisting with outstanding accounts when necessary.
- Manage purchasing, inventory, supplier relationships and operational expenses.
- Monitor key practice indicators, including production, collections, scheduling efficiency, patient retention and treatment acceptance.
Clinical and Patient Coordination
- Oversee administrative coordination of general dental, surgical, implant, restorative and prosthodontic treatments.
- Coordinate scheduling, documentation, patient instructions and communication with surgical and anesthesia providers for procedures involving moderate sedation or general anesthesia.
- Work closely with associate dentists, specialists, hygienists, assistants, dental laboratories and administrative teams to ensure smooth patient care and treatment coordination.
- Address patient concerns promptly while maintaining excellent service, confidentiality and professionalism.
Experience and QualificationsRequired
- Minimum two years of experience in dental office management, medical office management or a comparable leadership role.
- Proven experience supervising employees, managing administrative operations and coordinating multiple clinical schedules.
- Strong organizational, financial, communication and problem solving skills.
- Familiarity with payroll administration, accounts receivable, scheduling and office financial workflows.
- A proactive, hands on leadership style with excellent follow through, sound judgment and accountability.
- Professionalism, discretion and a genuine commitment to respectful teamwork and patient care.

- Dental practice management experience, particularly in a multidisciplinary practice offering general dentistry alongside advanced surgical or restorative treatments.
- Previous experience as a Dental Assistant or Registered Dental Hygienist is considered a significant asset.
- Familiarity with Paradigm Clinical dental practice management software by Logic Tech Corp.
- Experience coordinating surgical and sedation cases, including administrative arrangements with anesthesia providers.
- Experience overseeing multiple practice locations and working with external accountants or bookkeepers.
Our Workplace Culture
We take pride in maintaining a respectful, professional and collaborative workplace where everyone is treated with dignity, regardless of their position.
We value integrity, accountability, open communication and treating others the way we would want to be treated.
Our ideal manager leads with confidence and compassion, addresses concerns constructively and sets a positive example through their actions and interactions with colleagues and patients.

- A respectful, supportive environment where teamwork, professionalism and individual contributions are valued.
- Exposure to a diverse range of dentistry, from comprehensive general dental care to advanced oral surgery, sedation, implant rehabilitation and prosthodontic treatments.
- A meaningful leadership role with the autonomy to improve operations, mentor staff and contribute to the continued success of both practices.
- Competitive compensation based on experience and qualifications.
