Lumina Law + Everest (Vancouver, BC | Full-time | Hybrid)
About Lumina + Everest
Lumina Law is a boutique Vancouver firm focused on trust-heavy, complex estates and planning for business-owner and Canadian families. Everest is our professional trustee/executor practice supporting estate and trust administration.
We are a growing, nimble team with high standards that is dedicated to providing an excellent client experience. Our environment is fast paced, focused on clarity, and systems-oriented. We’re tech-forward (e.g., Clio and process automation) and building a platform that can grow without chaos.
As a team, we are committed to fostering an inclusive environment that values cultural diversity and a wide range of perspectives and opinions.
What you will do
This opportunity combines a substantial administrative role with hands-on marketing work and a pathway to learn estate and trust administration. Practical marketing experience is a significant asset. Previous estate or trust experience is welcome but not required.
Administration and client support
- Coordinate appointments, meetings, correspondence and follow-ups.
- Open and maintain files, organize records, and keep task lists and deadlines current.
- Collect documents and information from clients and professional contacts.
- Prepare and format correspondence, presentations and other materials.
- Support estate and trust files through document tracking, information gathering and administrative follow-through.
- Communicate professionally and sensitively with clients, families and referral partners.
Marketing and communications
- Help prepare and distribute newsletters, social media posts and client communications.
- Turn approved ideas and content into polished materials using tools such as Canva.
- Coordinate seminars, webinars, client events and referral-partner activities.
- Maintain contact lists and track inquiries and follow-up activity.
- Assist with website updates and simple video or visual content.
- Bring practical ideas to improve our communications and follow them through to completion.
As you develop familiarity and demonstrate sound judgment, there will be opportunities to take on greater responsibility in estate and trust administration.
What we are looking for
- Experience in administration, client service, coordination or a related role.
- Strong written and spoken English, with careful proofreading and attention to detail.
- Reliable follow-through and the ability to manage competing deadlines.
- Good judgment when handling confidential or sensitive information.
- A warm, professional manner and comfort working closely with a small team.
- Confidence using Google Workspace or Microsoft Office and learning new systems.
- An interest in building knowledge of estates, trusts and professional services.
Particularly valuable assets
- Hands-on experience with newsletters, email campaigns, social media, events or content creation.
- Canva, website content management, CRM or basic video-editing skills.
- Experience in legal, financial, accounting, real estate or other skilled services.
- Ability to communicate with clients in Mandarin, Cantonese, Korean or another language used by our clients.
- Examples of initiatives you have organized and carried through successfully.
What you can expect
- Varied work with a direct contribution to client service and the growth of our firms.
- Close collaboration with experienced colleagues in a small, personable team.
- Training in our processes and progressive exposure to estate and trust administration.
- Opportunities to contribute ideas and take ownership as your skills develop.
Administration is a core part of this position. The right person will enjoy both accurate, detailed work and creative communications.
