As Administrative Assistant, Real Estate, you will support an administrative team and provide backup for the Executive Assistant. The work includes coordinating meetings, maintaining information systems, processing expenses, and supporting internal and external partners. You will also use AI-enabled tools such as ChatGPT or Claude to improve work products and efficiency.
Key Responsibilities: Coordinate calendars, meetings, calls, conferences, and registrations
Prepare presentations, meeting materials, expense claims, and travel arrangements
Enter funding requests and distributions, investigating discrepancies




Maintain electronic files, documents, subscriptions, and the Real Estate wiki
Support events, mail distribution, courier packages, and process improvements
Requirements: Completed College education or equivalent
Administrative or team-support experience preferred
Excellent written and oral communication skills
Strong attention to detail, organization, and prioritization
Tact, discretion, sound judgment, and client service orientation
Bring organized administration, polished communication, and sound judgment to HOOPP’s Real Estate team and its internal partnerships.
