Position Overview

We are seeking a friendly, organized, and proactive Patient Care Coordinator to be the welcoming face and administrative backbone of our clinic. In this role, you will act as the primary link between our patients, clinicians, and administrative systems.

We believe in investing in our team. We provide comprehensive, hands-on training and extensive daily support from management and senior team members to ensure you feel confident and capable from day one.

Key Responsibilities

- Patient Experience: Warmly greet patients upon arrival, manage the check-in/check-out process, and answer phone calls, emails, and faxes with a helpful attitude.
- Scheduling & Intake: Efficiently book, reschedule, and optimize clinician schedules to minimize gaps; manage incoming referrals and coordinate patient intake paperwork.
- Billing & Insurance: Process patient payments,



coordinate extended health insurance claims, and navigate third-party billing (e.g., MVA or WSIB/Workers' Compensation claims).
- Clinic Support: Communicate schedule changes to therapists, manage front-office inventory, and keep the reception and waiting areas clean and organized.

Qualifications & Skills

- Excellent verbal and written communication skills with a strong customer-service mindset.
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Proficiency with computers and a willingness to learn our clinic scheduling/EMR software.
- Reliability, punctuality, and a robust sense of team collaboration.
- Previous medical or clinical administrative experience is an asset, but not required.
