Studio Program Coordinator
About the Studio
We are an educational and production pottery studio where teaching, creating, and community come together. We offer classes, workshops, monthly memberships, team-building, and private events alongside an active production studio. Our team includes instructors, production staff, volunteers and studio members who are all part of keeping the studio running.
We are looking for an organized, communicative, and people-oriented Studio Program Coordinator to ensure our programs, communications, and team are running smoothly.
About the Role
As the administrative lead for our studio, you will coordinate launching each session of programs, staff schedules, manage student inquiries, and handle our social media presence.
Our ideal person is organized, skilled at managing moving parts, and genuinely enjoys interacting with people. The position requires you to be proactive, dependable, and the ability to calmly handle scheduling and operational details as they arise.
Key Responsibilities
Programming, Class Launch & Schedule Coordination
- Class Launches: Manage class and workshop launches end-to-end, including website listings, timelines, order fulfillment, email campaigns, and task assignments.
- Scheduling: Create and maintain schedules for classes, workshops, private events, and studio access.
- Staffing: Coordinate availability and schedule instructors, production staff, and volunteers.
- Operations: Manage schedule changes, resolve scheduling conflicts, and ensure adequate coverage.
Student Correspondence & Customer Care
- Inquiries: Serve as the primary contact for inquiries about classes, workshops, memberships, and events across email and digital marketing channels.
- Student Logistics: Handle registration confirmations, class reminders, rescheduling, enrolment tracking, and general customer care.
Social Media & Marketing
- Social Media: Manage our social media presence by sharing studio updates, showcasing student work, promoting workshops, and highlighting studio life.
- Engagement: Respond to messages and comments promptly, and support marketing initiatives for launching recent programs and studio events.
Team & Administrative Support
- Team Communication: Serve as the main contact for instructors, studio staff, and volunteers — coordinating schedules, reminders, and team updates.
- Operations & Systems: Assist with staff onboarding, personnel records, and refining internal workflows between our educational and production teams.
What We’re Looking For
- Organized & Detail Oriented: Able to manage multiple schedules, launch workflows, and priorities without overlooking details.
- Great Communicator: Clear, warm, and responsive across email, social media, and in person.
- Problem Solver: Proactive, adaptable, and comfortable handling last-minute schedule changes.
- Tech-Savvy: Comfortable using online calendars, email platforms, spreadsheets, scheduling software, and social media.
- Team Player: Enjoys working with creative staff, volunteers, and our vibrant student community.
Experience
- Background in program coordination, scheduling, customer service, communications, social media, administration, or hospitality.
- Experience in a pottery studio, arts organization, or community centre is a bonus, but organizational and communication skills are what matter most to us.
