ABOUT THE COMPANY
We are a diversified, owner-operated group of businesses based on Vancouver Island, BC. Our companies span construction and land development, equipment and asset management, mobile hauling, and specialty contracting. We’re a growing group with a hands-on ownership team that values precision, accountability, and doing good work.
Each company keeps its own books, but there’s a lot of intercompany activity across the group. You’ll keep each set of books clean and separate while understanding how they fit together.
THE PROSPECT
We’re looking for an experienced, detail-oriented Bookkeeper to own full-cycle bookkeeping across our group of companies in QuickBooks Online. If you enjoy reconciliations that tie out, love a clean set of books, and want more variety than a single-company role offers, this is for you.
You’ll work directly with ownership and our external accountant, and you’ll have room to grow into payroll oversight, compliance, and financial reporting as you settle in.
Attention to detail is a must. Our companies cross-reference heavily, so small errors add up quickly. We need someone who takes pride in getting it right the first time.
WHO YOU ARE
We’re a tight-knit team. We look out for one another, we take pride in being the helpful solution, and we hold ourselves to a high standard. We run on EOS (the Entrepreneurial Operating System) and live by the principles of The Ideal Team Player:
- Humble: You put the team first, share credit, and own your mistakes.
- Hungry: You don’t need to be told what’s next. Deadlines matter to you, and you finish the job right.
- Smart: You communicate clearly, listen well, and look for the solution instead of handing off the problem.
WHAT YOU’LL DO
Bookkeeping (core of the role)
- Full-cycle bookkeeping across multiple QBO company files
- Accounts payable: vendor bills, payment runs, EFTs, and AP aging
- Accounts receivable: invoicing, client statements, collections, and AR aging
- Bank and credit card reconciliations
- Intercompany invoicing and entries
- Month-end close and reconciliations
- Monthly journal entries, including reclassing wages and expenses between fixed assets and repairs & maintenance
- Year-end prep and working papers for our external accountant
Payroll & remittances
- Review and approve multi-company payroll (admin staff handle data entry)
- Payroll cost coding to jobs and projects
- Stat holiday pay calculations
- CRA source deduction remittances, ROEs, and T4s
Sales tax & government filings
- GST and PST returns for multiple companies
- GST Input Tax Credit (ITC) calculations where both taxable and exempt sales occur
- Employer Health Tax (EHT) installments
- WorkSafeBC quarterly and annual filings
Admin & compliance support
- Track WCB clearances and insurance certificates for subcontractors
- Support onboarding paperwork and group benefits changes
- Help build and maintain procedures for financial and admin tasks
Reporting (with room to grow)
- Prepare monthly financial statements and reports for ownership
- Keep the company Scorecard updated for weekly meetings
- Over time: support budgeting, insurance renewals, and equipment financing analysis
