Position overview
The Receptionist is the welcoming first point of contact for clients, prospective clients, visitors and colleagues at Weir Bowen LLP. This role combines thoughtful, professional client service with accurate front-office coordination and administrative support. Many people contacting the firm may be navigating difficult or sensitive circumstances; patience, discretion and clear communication are essential.
Reception coverage, incoming calls, and in-person client needs are the first priorities. As capacity allows, the role also provides administrative and developing legal assistant support, coordinated by the Director of Operations, with particular attention to busy administrative periods.
We welcome candidates who have completed a Legal Assistant program and want to build practical experience in a law firm. With training, supervision and sufficient reception coverage, this position may grow to include legal assistant support for different lawyers and practice areas. The pace and scope of that development will be based on operational needs and the employee’s skills and interests.
Key Responsibilities
Client Reception and Communications:
- Answer, screen and direct incoming calls promptly, courteously and accurately; take clear messages and ensure timely follow-up.
- Welcome visitors, advise the appropriate team member of their arrival and assist with waiting-room or meeting-room arrangements.
- Handle prospective-client inquiries sensitively, gather only appropriate preliminary information and route inquiries to the correct person without offering legal advice.
- Respond calmly and respectfully to challenging interactions, protecting client privacy and escalating concerns when needed.
Front Office and Facilities:
- Keep reception, waiting areas and meeting spaces welcoming, tidy, organized and ready for use.
- Coordinate boardroom bookings, meeting setups, visitor arrangements and basic hospitality.
- Receive and coordinate couriers, mail, deliveries, documents and cheques; follow established handling, tracking and notification procedures.
- Maintain accurate staff attendance and availability information to support client communications and office coverage.
Administrative and Practice Support
- Collect and enter staff timesheet information and billed disbursements accurately in the firm’s practice-management system, following established deadlines and procedures.
- Assist with opening client files, approved conflict-search processes, document administration, data entry and records handling as assigned, with opportunities to build legal assistant skills under appropriate supervision.
- Support printing, scanning and document preparation for lawyers and colleagues working remotely or on-site.
- Provide other general office or team support when reception coverage and core deadlines permit, with priorities set by the Director of Operations.
The Ideal Candidate
The ideal candidate is warm, professional and dependable,
with strong client service skills and the ability to help people feel welcome and supported, including during sensitive or stressful situations. They are organized, accurate and discreet, able to manage calls, visitors and administrative deadlines while keeping reception needs the priority. They bring sound judgment, communicate workload concerns early and willingly pitch in to support colleagues. Confidence with Microsoft 365, accurate data entry and an ability to learn new systems are important. This role would suit someone who takes pride in front-office service and is interested in gradually developing legal assistant skills while understanding that reception remains their core responsibility.
Experience and qualifications
- Completion of a post-secondary office assistant diploma or certificate program is strongly preferred; related office administration education or equivalent experience may also be considered.
- Experience in reception, legal administration, or client service is an asset. Recent Legal Assistant program graduates are encouraged to apply.
- Working knowledge of Microsoft 365, including Outlook, Word and Excel; ability to learn firm systems such as Unity.
- Clear written and spoken communication, accurate data entry and sound attention to detail.
- Understanding confidentiality and professional boundaries; familiarity with legal terminology is an asset.
