Beth Tikvah is seeking a dynamic, personable self-starter to play a key role in the day-to-day operations of our vibrant synagogue. Reporting to the Secretary of the Board and with direct guidance from the Rabbi, the Administration & Relationship Manager serves as a cornerstone of our community, supporting congregants, liaising with the Board, providing administrative support as needed, and serving as administrative assistant to the Rabbi. As the first point of contact for both current and prospective congregants, this role helps create the consistently welcoming, friendly, and supportive atmosphere that we are proud to call Beth Tikvah.
- A warm and approachable relationship-builder with demonstrated experience working in a community setting.
- A compassionate and forward-thinking problem-solver, sensitive to the needs of a diverse community.
- Comfortable working with a wide demographic of community members, including adults, families, seniors, and newcomers to Canada.
- Tech-savvy and comfortable learning new software, with the ability to guide others in its use; experience with ShulCloud and/or other data management systems is considered an asset.
- Highly organized, with strong time-management and prioritization skills.
- Proficient in the Microsoft Office Suite, including Outlook, Excel, and Word.
- Able to maintain professionalism and compassion when supporting individuals in sensitive or emotionally challenging situations.
- Able to demonstrate discretion and a strong respect for confidentiality.
- Experienced with Judaism and/or the Jewish community, with an understanding of Jewish culture and customs and a respectful appreciation of the Jewish experience.
- Flexible with hours as some meetings and programs occur outside of standard business hours.
Roles & Responsibilities : The Administration and Relationship Manager role spans a wide range of responsibilities that may vary from day to day. In addition to building longstanding, trusting relationships with congregants, staff, and Board members, key responsibilities include:
- Supporting administrative aspects of a dedicated volunteer network and staff with their weekly programs and additional initiatives as needed.
- Supporting with financial transactions related to synagogue participation, including active communication with the synagogue bookkeeper.
- Coordinating and managing membership lifecycle events (including, but not limited to, weddings, funerals, and bnei mitzvot) in collaboration with the Rabbi, staff, community members and partners.
- Liaising with internal and external partners, including the kitchen, daycare, rental groups, facility maintenance and facility users.
- Maintaining calendars for the Rabbi, congregation and facility.
- Managing weekly administrative materials for religious services and programs (such as the Shabbat bulletin and memorial cards) and providing administrative support for HaTikvah Religious School.
- Attending all Board meetings and the Annual General Meeting, and preparing, recording, and distributing agendas and minutes as required.
- Supporting the Programming and Communications Coordinator as needed.
- Performing other administrative duties as required.
