The HR Coordinator, Systems & Administration role is an operational and service-oriented position working across multiple business units. The role will ensure effective and accurate administrative support to all managers, employees and the HR team including but not limited to activities such as: preparing documentation, supporting recruitment, onboarding and hiring processes, supporting immigration processes, planning social events, records management, etc.

Responsibilities

- HR Systems & Data: Support payroll with maintaining accurate employee information in HR systems and support HR reporting and data-quality activities.
- Recruitment Coordination: Support job postings, candidate communication, interview scheduling, recruitment documentation and pre-employment activities.
- Onboarding & Offboarding: Coordinate employee onboarding, orientation documentation and administrative processes associated with employee departures.
- Employee Support: Respond to routine employee and manager HR inquiries and direct more complex matters to the appropriate HR team member.
- Payroll & Benefits Administration: Prepare and coordinate employee information required for payroll and benefits processes, according to assigned responsibilities.
- Compliance & Documentation: Ensure HR documentation and records are complete, accurate and maintained in accordance with established policies and legal requirements.
- HR Reporting: Prepare routine HR reports, track HR activities and assist with workforce data as required.
- Continuous Improvement: Identify opportunities to improve efficiency, consistency and employee experience of HR administrative processes.

Profile

- Post‑secondary education in HR or equivalent field of study
- 1 – 2 years of HR experience, preferably in a multi‑site, multi‑province or multi‑country organization
- Experience across multiple HR disciplines, including recruitment, employee relations,



performance management and talent development.
- Experience in LMIA processing, work permit application processing and other immigration processes is considered an asset
- High accuracy and attention to detail
- Strong written and verbal communication skills
- Experience working with any HRIS, ATS and other HR tools
