Orono

ELL-ROD Holdings is a growing commercial millwork manufacturer based in Orono, serving general contractors, architects and designers across the GTA. We are seeking a Senior Project Manager to own the delivery and profitability of our largest and most complex projects, from award through final billing and close-out. You will be measured on the value and profitability of the projects you deliver. As the most senior role in our Project Management Office (PMO), you will also set the standard of execution and help develop the rest of the team through mentorship and example.

Key Responsibilities
As a Sr. Project Manager, you will: Project FInancials Ownership
- Own a portfolio of concurrent, large-scale commercial millwork projects (typically $2M+ individually) from award through close-out, with full accountability for margin, schedule and client outcome.
- Own the project budget and margin: track actual against budgeted material, labour and subcontract costs, forecast cost to complete and cash flow, and deliver projects on or above margin targets.
- Control labour hours: monitor shop and installation hours against budget every week, pre-approve overtime, and work with shop and install team leads to correct overruns before they erode margin.
- Drive progress billing: submit accurate, on-time progress draws that keep billing in step with work completed, avoid underbilled work in progress, and follow through on holdback release and final billing.
- Lead change and contract management: identify scope changes early, price them, and secure signed change orders before the work proceeds, so commercial exposure is controlled and value is recovered.
- Report project health weekly to the Director, PMO: schedule status, cost to complete, billing position, labour hours, and open risks, ready for weekly project reviews with senior leadership. Planning, Production & Delivery
- Build and manage the project schedule, tracking approvals, shop drawings, material orders, production, finishing, delivery and installation, and actively managing the critical path.
- Review and coordinate shop drawings against architectural and design drawings, challenging details where needed to support efficient fabrication on the most technically demanding jobs.
- Release work to production only when it is ready: confirm that shop drawings, materials, hardware and finishes are approved and available before the shop starts.

- Partner with Procurement on material orders and lead times for sheet goods, veneers, hardware and finishes, aligning purchasing with the schedule and cost targets.
- Coordinate with Operations and Production on capacity, sequencing and priorities, and communicate schedule changes promptly to everyone affected.
- Coordinate delivery and installation: confirm site readiness with the general contractor before shipping, and make sure items are inspected, packaged and scheduled.
- Drive projects to a clean close: track deficiencies and punch-list items to completion, deliver close-out documentation, and collect final billing and holdback.
- Keep project records current in our ERP system, including budgets, purchase orders, change orders, drawings and correspondence. Client & Stakeholder Leadership
- Serve as the senior point of contact for general contractors, clients, architects, designers and consultants, building trust from award through completion.
- Conduct site visits and lead coordination meetings, representing ELL-ROD professionally and driving resolution across trades and stakeholders.
- Partner with Finance on forecasting, billing, cost reporting and margin analysis to keep project financials transparent and accurate.
- Identify risks and lead problem-solving, putting proactive solutions in place before issues affect schedule, budget or quality. PMO Leadership & Mentorship
- Set the standard for the PMO by leading by example on the most demanding projects, with the highest standards of execution, quality, safety and professionalism.
- Mentor and coach Project Managers and coordinators, building capability across the team and helping develop internal talent for future project management roles.
- Partner with the Director, PMO to shape, refine and roll out PMO standards, processes, templates and tools that make excellent delivery repeatable.
- Act as a trusted advisor to leadership, surfacing risks, insights and opportunities that lead to better decisions. How Success Is Measured
- Gross margin on completed projects against the estimate

- Labour hours against budget, with overtime approved in advance
- Billing kept current: progress draws on schedule, minimal underbilled work in progress, holdbacks collected
- Change orders signed before changed work proceeds
- On-time delivery and installation against the project schedule
- Deficiencies closed promptly and strong feedback from general contractors and clients Qualifications & Experience The ideal candidate will have:
- 8+ years of experience in commercial millwork or construction project management, including senior-level responsibility.
- A track record managing project budgets of $2M+ and multiple concurrent projects, delivered on time and on or under budget.
- Direct accountability for project P&L;, including cost-to-complete forecasting, progress billing, and tracking labour against budget.
- Strong ability to read and review architectural drawings, shop drawings and specifications; hands-on AutoCAD drafting or detailing of commercial millwork is a strong asset.
- Working knowledge of commercial millwork materials, hardware, finishes and manufacturing processes.
- Strong commercial acumen in change management and contract administration; familiarity with CCDC contracts and Ontario Construction Act holdback and prompt payment requirements is an asset.
- Demonstrated influence-based leadership: mentoring peers and raising team performance by example.
- Exceptional organization and communication, and the ability to stay calm and solutions-focused under pressure in both an office and shop workplace.
- A degree or diploma in construction management, engineering, architecture or a related field. PMP or equivalent certification is an asset.
- Advanced Excel and Microsoft Office skills; experience with ERP or project management software (Innergy or similar) is an asset.
- A strong commitment to workplace safety, quality and continuous improvement.
