About New North Exteriors Established in 1984, New North Exteriors is a locally operated company specializing in exterior home improvements, including windows, doors, siding, eavestrough, soffit, fascia, and building materials. As our company continues to grow, we're looking for a motivated, resourceful, and detail-oriented individual to join our team as an Administrative & Client Services Coordinator. We take pride in delivering quality workmanship, exceptional customer service, and maintaining a workplace built around safety, teamwork, and continuous improvement. About the Position We're looking for someone who takes genuine pride in their work, enjoys solving problems, and approaches each day with a willingness to learn and contribute. This position plays an important role in supporting our daily administrative activities, coordinating initial customer inquiries, maintaining accurate information, and ensuring our clients receive a positive and professional experience. The ideal candidate is someone who can confidently navigate computer systems, manage multiple priorities, communicate effectively, and take ownership of responsibilities from beginning to end. We're not necessarily looking for someone who knows our industry. We're looking for someone with the right mindset, strong organizational skills, and the initiative to grow with our company.
Key Responsibilities
Client Services & Communication
- Serve as an initial point of contact for customers through telephone, email, and in-person interactions.
- Respond to general inquiries professionally, efficiently, and with a customer-first approach.
- Gather and document customer information, project details, and service requests.
- Assist customers with general questions, scheduling inquiries, and payment processing.
- Follow up on outstanding requests to ensure timely communication and resolution.
- Exercise sound judgment when addressing routine customer concerns, recognizing when additional support is required. Administrative Coordination & Data Entry
- Accurately enter and maintain customer information, quote requests, and project details within company software.
- Review information for completeness and accuracy.
- Organize and maintain digital records and supporting documentation.
- Assist with managing incoming emails, telephone calls, and general office communications alongside our existing team.
- Support administrative processes across various departments.
- Identify opportunities to improve organization, accuracy, and daily efficiencies. Team Collaboration & Development
- Work collaboratively with administration, sales, and field teams to support daily business activities.
- Assist with additional administrative tasks and projects as needed.
- Develop familiarity with company products, services, and internal processes.
- Demonstrate initiative in identifying challenges and contributing practical solutions.
- Support a positive, organized, and safety-conscious workplace. What We're Looking For We believe that the right attitude, strong work ethic, and willingness to learn are just as important as previous experience. Our ideal candidate demonstrates: Exceptional Attention to Detail You take pride in accuracy and understand the importance of entering information correctly, maintaining organized records, and ensuring even the smallest details are not overlooked. Strong Computer Proficiency You are confident using computers, navigating multiple software programs, managing digital information, and learning new systems. You can adapt quickly to technology and work efficiently in a digital environment. Initiative & Problem-Solving You approach challenges with curiosity and critical thinking. Rather than immediately passing along an issue, you make an effort to understand the situation, explore available resources, and identify appropriate solutions. Ownership & Accountability You take responsibility for your work, follow through on commitments, and ensure tasks are completed thoroughly and accurately. Professional Communication You communicate clearly, respectfully, and confidently with customers and coworkers. You understand the importance of listening, asking thoughtful questions, and providing a positive customer experience. Organization & Adaptability You can manage multiple responsibilities, prioritize effectively, and remain organized in a fast-paced environment. A Growth-Oriented Mindset You welcome feedback, enjoy developing new skills, and continuously look for opportunities to improve your work and contribute to the team. Qualifications Preferred
