Horizon School of Music
Vancouver
Sales and Student Success Coordinator for a Music School, Part-Time Horizon School of Music | Vancouver, BC Pay: $22.50–$25.00 per hour Hours: Initially 8–10 hours per week, with significant potential for growth
Location:
333 Terminal Avenue, Vancouver, BC Work Arrangement: Part-time, with regular on-site work and some remote flexibility Help Us Build Something Extraordinary Horizon School of Music is growing, and we're looking for an exceptional person to grow with us With over 700 active students and 33 outstanding music teachers, Horizon is one of Vancouver's thriving music education communities. We're passionate about making music accessible, inspiring and enjoyable, and we believe that learning music should be one of the most rewarding experiences in a person's life. We're looking for a highly organized, motivated and musically knowledgeable Sales and Student Success Coordinator who shares our passion for music education and wants to play an important role in the continued growth of our school. This is not simply a position answering emails, scheduling lessons or processing administrative tasks. We're looking for someone who understands music, loves helping people, takes ownership of their responsibilities and recognizes that exceptional sales and administration are fundamental to the success of a growing business. Someone who sees the bigger picture without losing sight of the details. Someone who takes initiative, follows through consistently and genuinely enjoys making things happen. In many ways, we're looking for a trusted co-pilot to help us take Horizon to the next level. A Genuine Passion for Music Is Essential Musical experience is a requirement for this position. We're not looking for a traditional salesperson or administrator who happens to be interested in working at a music school. We want someone who genuinely understands and appreciates music, musical instruments and the transformative benefits of music education. Ideally, you're a musician yourself, have studied an instrument, have experience teaching music or have worked in a music-related environment. You should already have a practical understanding of musical instruments, different musical styles and what students experience when learning music. Most importantly, you should be able to speak confidently and enthusiastically with prospective students about their musical interests and goals. Whether someone wants to learn piano, guitar, drums, voice, banjo or another instrument, you should be excited about helping them discover the possibilities. We can teach you our systems and processes. We don't want to have to teach you why music matters. What You'll Be Doing Sales & New Student Experience
- Respond promptly and professionally to new student inquiries through phone calls, emails and text messages.
- Build meaningful connections with prospective students and families.
- Learn about each student's musical interests, goals and experience.
- Help match prospective students with appropriate teachers and learning opportunities.
- Proactively follow up with interested leads and help them move confidently toward booking.
- Support first lesson bookings and follow-ups, turning positive first experiences into long-term student relationships.
- Identify opportunities to grow enrolment while maintaining a personal, student-centred approach. Student Success & Retention
- Build strong relationships with our existing students and families.
- Proactively reach out to students who have stopped booking or attending lessons.
- Identify opportunities to improve student retention, satisfaction and engagement.
- Help students discover workshops, group programs and other musical opportunities within our community.
- Address student questions and concerns with empathy, professionalism and care.
- Ensure students feel supported and valued throughout their musical journeys. Systems, Organization & Accountability
- Maintain accurate, detailed and up-to-date student records.
- Manage sales pipelines and customer success workflows using Trello.
- Work within MyMusicStaff, our primary student management and scheduling system.
- Track communication history, follow-up activities, sales conversions and important performance metrics.
- Take ownership of assigned responsibilities, deadlines and follow-ups.
- Identify inefficiencies and contribute ideas for improving our administrative systems.
- Ensure significant information is documented accurately so our entire team can operate effectively. Community Events, Marketing & Engagement At Horizon, we're much more than a music school. We're a vibrant, growing community of musicians, students, families and educators who love coming together to share their passion for music An exciting part of this role involves helping plan, coordinate, promote and execute community events, including workshops, open mics, student concerts, group activities, fundraisers and other creative initiatives that bring our musical community together. We're looking for someone who is creative, enthusiastic and comfortable taking an idea from concept to completion. Responsibilities include:
- Planning and coordinating workshops, concerts, open mics, fundraisers and other community events.
- Creating attractive promotional materials, posters and digital graphics using tools such as Canva.
- Helping manage social media promotions, event announcements and community engagement.
- Coordinating with teachers, students and administrative staff to ensure events are organized and executed successfully.
- Promoting events through email campaigns, social media, our website and direct communication with students and families.
- Tracking registrations, attendance and event participation while identifying opportunities for improvement.
- Bringing fresh ideas and creative energy to help strengthen our school community and expand our programming. We're looking for someone who doesn't just enjoy organizing events but genuinely loves bringing people together through music. Someone who understands that a thriving music school is about more than weekly lessons. It's about creating memorable experiences, meaningful connections and a sense of belonging. If you're creative, organized, comfortable with social media and excited about helping build something special, this could be one of the most rewarding parts of your role Follow-through is absolutely critical in this position. We need someone who is dependable, detail-oriented and committed to completing tasks accurately and consistently.
