About Air Notions Air Notions is a growing HVAC equipment manufacturer based in Ontario. We design and build HVAC solutions for commercial and industrial projects, and we work closely with contractors, engineers, and sales reps to get the right equipment delivered on time. The Role We’re looking for an organized, detail-oriented Project Coordinator to help move customer orders from purchase order to delivery. You’ll be the link between sales, engineering, production, and our customers. You’ll keep projects on schedule, keep documents in order, and make sure everyone knows what’s happening. This is an entry-level role with room to grow. What You’ll Do
- Set up new jobs once orders are received: create job files, enter order details, and track key dates
- Manage the flow of information on each project so the right people have the right documents, updates, and decisions at the right time
- Attend project meetings, take and distribute meeting notes, and follow up on action items
- Track approvals, change orders, and revisions so production always works from current information
- Coordinate with production and purchasing on schedules, materials, and ship dates
- Give customers and sales reps regular status updates and answer routine project questions
- Arrange shipping and delivery logistics with carriers and job sites
- Keep job lists, trackers, and project records accurate and up to date
- Flag delays or issues early and help find solutions
- Support the sales team with quotes, paperwork,



and admin tasks as needed What We’re Looking For
- A diploma or degree in business, construction management, mechanical engineering technology, or a related field, or equivalent experience
- Strong organizational skills and the ability to manage several projects at once
- Explicit, professional written and verbal communication
- Comfortable with Microsoft 365 (Outlook, Excel, Teams, SharePoint)
- Attention to detail: you catch the small things before they become big problems
- A proactive, team-first attitude and willingness to learn Nice to Have
- Exposure to HVAC, mechanical, construction, or manufacturing
- Ability to read basic technical drawings or submittals
- Co-op, internship, or admin experience in a project-based setting
