Be the First Impression That Sets the Standard
At Cantu, we believe an exceptional customer experience begins the moment someone walks through our doors.
We're looking for a polished, personable and highly organized Reception & Executive Support Coordinator to be the face of our Vancouver luxury showroom. Someone who genuinely enjoys welcoming people, anticipates their needs and takes pride in delivering an exceptional experience.
This is much more than answering phones and greeting visitors. You'll set the tone for every guest interaction, ensuring that designers, builders, homeowners and industry professionals feel welcomed, valued and well cared for.
Beyond reception, you'll also provide administrative and executive support to our leadership team, help coordinate meetings and company events, and contribute to the smooth day-to-day operation of our business.
We're looking for someone who combines genuine hospitality with initiative, professionalism and a strong sense of ownership.
What You'll Do
Create an Exceptional Guest Experience
As the first point of contact for our showroom, you'll play a central role in how clients experience Cantu.
- Warmly and proactively welcome every guest entering our showroom.
- Offer refreshments, anticipate guest needs and ensure visitors feel comfortable and attended to.
- Personally escort guests to their sales consultant or meeting location rather than simply directing them.
- Recognize returning visitors and help create a personalized, memorable experience.
- Maintain an impeccable reception area and ensure the showroom reflects our premium brand standards.
- Manage incoming calls and general inquiries with professionalism, warmth and efficiency.
- Take initiative to identify opportunities to continually elevate our guest experience.
Provide Executive & Administrative Support
You'll work closely with our Sales Manager and General Manager, providing practical, organized and proactive support across a variety of responsibilities.
- Coordinate calendars, meetings, appointments and travel arrangements.
- Prepare meeting agendas, record minutes and track action items and follow-up commitments.
- Format, organize and create professional documents, reports, presentations and internal communications.
- Assist with developing, updating and maintaining company policies, procedures and internal resources.
- Help leadership organize priorities, track outstanding tasks and coordinate follow-up across departments.
- Conduct research, gather information and support special projects as required.
- Maintain organized digital records, shared files and administrative systems.
- Identify opportunities to improve administrative processes and day-to-day efficiency.
Coordinate Events & Showroom Activities
Cantu hosts a variety of client, vendor and team events throughout the year. You'll help bring these experiences together from planning through execution.
- Assist with planning and coordinating approximately 1–2 showroom or company events per quarter.
- Manage invitations, RSVPs, catering, signage, supplies and vendor coordination.
- Support event preparation, guest experience, setup and teardown.
- Help ensure events are professionally organized and reflect Cantu's premium brand.
- Provide light support with monitoring company social media channels and coordinating occasional administrative marketing tasks.
- Be available for occasional evening events when required.
Keep Our Front Office Running Smoothly
- Manage reception supplies, shared spaces and day-to-day administrative needs.
- Monitor general inboxes, phone messages and relevant team calendars.
- Assist with internal communication and coordination between departments.
- Support routine data entry, document organization and administrative tracking.
- Use tools such as Google Workspace, Microsoft Office, Canva and other internal business systems.
- Take ownership of small tasks and follow through without requiring constant direction.
What We're Looking For
We're looking for someone who takes genuine pride in providing exceptional service while bringing the organization and initiative needed to support a busy professional environment.
You'll thrive here if you are:
- Warm, welcoming and naturally attentive to the people around you.
- Polished, professional and confident interacting with clients, executives and industry professionals.
- Proactive in anticipating needs rather than waiting to be asked.
- Highly organized, detail-oriented and capable of managing multiple priorities.
- An excellent communicator, both in person and in writing.
- Comfortable taking ownership of tasks and following through to completion.
- Adaptable, resourceful and able to remain composed in a busy environment.
- Comfortable learning new systems, technology and administrative processes.
- Motivated to contribute beyond your immediate responsibilities and make a meaningful difference in the workplace.
Experience & Qualifications
- Previous experience in reception, hospitality, customer service or a professional office environment is preferred.
- Experience in luxury hospitality, premium retail or another client-focused professional environment is an asset.
- Strong written communication, organizational and computer skills.
- Familiarity with common office applications, document formatting and calendar management.
- Previous executive assistant or event coordination experience is beneficial but not required.
We're willing to develop the administrative and executive support capabilities of someone who demonstrates exceptional hospitality, initiative and organizational skills.
