The Canadian Beef Grading Agency (CBGA) is a national, industry-run, not-for-profit organization providing impartial grading services for Canadian beef, bison, and veal. Our Calgary head office supports operations across Canada and works closely with industry representatives, establishments, graders, and government partners.
We are seeking an experienced bilingual bookkeeper with strong accounting knowledge, sound judgment, and the ability to work independently in a small, busy office.
About the Position
This position is responsible for day-to-day bookkeeping and banking, month-end procedures, and the preparation, accuracy, and maintenance of the Agency’s internal financial reporting.
The successful candidate must understand the financial information they prepare—not simply enter transactions or print reports. They must be able to reconcile accounts, investigate discrepancies, explain financial results, and provide reliable information to the Executive Director.
The Agency’s monthly internal financial package currently comprises22 reports, including financial statements, departmental and regional reports, monthly and year-to-date results, and budget comparisons. The successful candidate will be responsible for preparing and reviewing this package, understanding how the reports relate to the underlying accounting records, and adapting or developing additional reports as required.
Preference will be given to candidates with Sage 300 experience. The Agency will provide software-specific training and guidance to otherwise qualified candidates who have the accounting and bookkeeping knowledge described below.
Key ResponsibilitiesDay-to-Day Bookkeeping and Banking
Maintain complete and accurate accounts payable and receivable records, including issuing invoices, recording receipts, following up on outstanding accounts, and resolving billing discrepancies.
Review, code, and enter supplier invoices and expense claims. Obtain the required approvals and prepare electronic payments, cheques, and bank deposits in accordance with the Agency’s procedures and approval requirements.
Monitor banking activity, maintain supporting documentation, and reconcile bank, credit-card, and investment accounts. Identify unusual transactions, outstanding items, or discrepancies and bring matters requiring attention to the Executive Director.
General Ledger, Payroll, and Month-End Procedures
Maintain the general ledger and ensure transactions are recorded in the correct accounts, departments, and accounting periods. Reconcile accounts payable and receivable to their general-ledger control accounts.
Prepare and record journal entries, accruals, and other month-end adjustments, with appropriate supporting documentation.
Maintain reconciliations and supporting schedules and complete bookkeeping through to trial balance.
Record and reconcile entries from the Agency’s third-party payroll provider, assist with payroll-related reporting, and prepare applicable tax and government remittances. Maintain accurate records and meet established filing and reporting deadlines.
Internal Financial Reporting
Prepare, reconcile, review, and deliver the Agency’s monthly financial reporting package within established deadlines.
Understand and interpret the balance sheet, statements of revenue and expenses, departmental and regional results, monthly and year-to-date comparisons, administration allocations, and budget variances.
Review reports for completeness, consistency, and accuracy before submitting them to the Executive Director. Identify and investigate unusual balances, coding errors, missing entries, and significant variances, and provide clear explanations supported by the accounting records.
Support quarterly and annual reporting and respond to management requests for additional financial information.
Accounting Software, Report Development, and Financial Inquiries
Use the accounting system to locate and run reports, select appropriate reporting periods and account ranges, and retrieve customer, vendor, general-ledger, and transaction information.
Trace report balances to the underlying entries and supporting documents to answer financial questions and resolve discrepancies.
Maintain and modify existing financial report templates and develop additional reports when required, using the Agency’s accounting software and Excel. This includes adjusting account selections, departmental breakdowns, reporting periods, formulas, and comparisons.
Verify that new or revised reports are complete, accurate, and consistent with the accounting records. Document reporting procedures so that recurring work can be completed consistently.
Budgeting and Year-End Support
Assist the Executive Director with budget preparation and monitoring by producing accurate financial reports, historical comparisons, and supporting schedules.
Maintain organized accounting records and prepare documentation required by the external accountant or auditor. Assist with year-end adjustments, annual filings, T4-related reporting, and other accounting requirements, as applicable.
Office and Administrative Support
Provide professional written and verbal communication in French and English when responding to clients, suppliers, graders, and other Agency contacts.
Assist with correspondence, document preparation, filing, contracts, and other office administration tasks as required. Provide reasonable cross-coverage during staff absences, including assistance with routine data compilation and reporting following training.
Candidates interested in a full-time position must also be willing and qualified to assume additional administrative responsibilities, which may include meeting coordination, travel arrangements, document translation, support to management and statistical data entry and monitoring.

- Demonstrated accounting and bookkeeping competency:
Practical experience with full-cycle bookkeeping, accounts payable and receivable, banking, reconciliations, general-ledger maintenance, month-end procedures, and internal financial reporting.
- Financial understanding and problem-solving: Ability to interpret financial statements, understand how transactions affect reported results, investigate discrepancies, and explain findings clearly.
- Accounting software and Excel skills: Experience using accounting software beyond basic transaction entry, together with strong Excel skills for formulas, financial comparisons, reconciliations, and report preparation. Experience modifying or creating financial reports is an asset.
- Fluency in French and English: Ability to communicate professionally and accurately in both languages, verbally and in writing, including handling financial correspondence and routine office communications.
- Independence, accuracy, and organization: Ability to prioritize responsibilities, meet recurring deadlines, maintain transparent records, and complete work accurately with limited ongoing supervision. Strong judgment, initiative, professionalism, and confidentiality are essential.
- Relevant education and background: Post-secondary education in accounting, bookkeeping, business administration, or an equivalent combination of education and practical experience. Experience in a not-for-profit organization or the agricultural industry is an asset.

The Agency will provide software-specific training and guidance on its accounts, contracts, internal procedures, and monthly reporting requirements. This will include guidance on locating, running, reviewing, and adapting reports, as well as developing additional reports when required.
Training will build on the candidate’s existing accounting and bookkeeping competency. Candidates must be able to apply initial instruction, document what they learn, and progress to completing their responsibilities independently with limited ongoing supervision.
