- Maintain accurate stakeholder records, correspondence, and meeting documentation.
- Assist with government relations activities, stakeholder consultations, and engagement events.
Project Coordination & Follow-Through

- Monitor project progress, identify approaching deadlines, and follow up with responsible individuals without waiting for direction.
- Coordinate multiple initiatives simultaneously,
ensuring deliverables are completed on schedule.
- Identify outstanding tasks, potential delays, and gaps in project execution, and take initiative to resolve or escalate them.
- Ensure commitments made during meetings translate into completed actions.
- Support workforce development initiatives and other strategic projects involving internal teams and external partners.
Reporting & Administration
- Prepare meeting summaries, progress updates, presentations, briefing materials, and reports.
- Maintain organized project records, stakeholder databases, and documentation.
- Coordinate communications and information sharing between committees, stakeholders, and internal departments.
- Improve coordination processes and tracking systems to support efficient project delivery.
Qualifications & Requirements
- 3+ years of relevant experience in project coordination, committee coordination, stakeholder relations, program coordination, association management, or a related field.
- Demonstrated experience independently managing projects, meetings, deadlines, and follow-ups from start to finish.
- Solid organizational skills and the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Experience maintaining project trackers, action logs, workplans, spreadsheets, and reporting tools.
- Proficiency with Microsoft Office, particularly Excel, Outlook, Word, and PowerPoint.
- Strong interpersonal skills and confidence communicating with internal and external stakeholders.
- Ability to work independently, demonstrate sound judgment, and take initiative with minimal supervision.
- Relevant post-secondary education or equivalent practical experience.
Assets
- Experience coordinating committees, councils, boards, or professional associations.
- Exposure to government relations, public policy, workforce development, or stakeholder engagement.
- Experience supporting cross-functional projects involving multiple stakeholders.
What We're Looking For
We are particularly interested in candidates who can demonstrate that they have:
- Owned coordination activities from beginning to end, rather than only assisting with assigned tasks.
- Independently organized meetings and ensured follow-up actions were completed.
- Managed project timelines, tracked commitments, and held stakeholders accountable.
- Anticipated next steps and proactively addressed outstanding issues.
- Successfully coordinated multiple projects with limited supervision.
If you are a proactive coordinator who enjoys taking ownership, keeping projects organized, and turning plans into completed results, we encourage you to apply.
