ALX Exploration and Mining Supplies is seeking a detail oriented and proactive individual to serve as an Office Administrator. This role is primarily responsible for assisting the Business Operations Officer in all day to day office duties . The ideal candidate will have experience in office administration or willingness to learn, enjoys working in a fast-paced environment and has strong communication skills.
SECTION 2: PRINCIPAL DUTIES AND RESPONSIBILITIES
In your capacity as Administration Officer, you will be part of a small team that is responsible for, but not limited to, the following duties & responsibilities:
- Entering orders that are placed both via email and over the phone.
- Invoicing outgoing shipments.
- Confirming vendor invoices for incoming shipments.
- Confirming and entering freight invoices.
- Helping to generate payment batches, following up on overdue invoices with customers and disputing any discrepancies with vendors.
- Answering the ALX General Phone line and directing calls as required.
- Assisting the purchasing officer when required with submitting purchase orders and vendor follow-up.
SECTION 3: REQUIREMENTS
- Fluency in English.
- Ability to work under pressure with deadlines.
- Familiarity with Excel.
- Ability to communicate confidently with vendors and customers.
- Previous experience in the mining sector will be considered an asset.
