Executive & Operations Administrator Position Title: Executive & Operations Administrator Reporting to: Lyndsay Seafoot

Location:
Fully remote or Hybrid remote (depending on candidates location) Type: Full Time Introduction to UsThe Curbridge Group is a growing Manitoba-based company focused on supporting organizations and individuals through practical HR solutions, resources, and tools. Under Curbridge Group, we operate three distinct services:
• Curbridge: Our HR consulting division, providing practical, hands-on HR advice and support to businesses and organizations across industries.
• Directors Desk: Our dedicated HR membership platform for the child care sector. Through an online portal, our members have access to ready-to-use HR templates, resources, training, and ongoing support from HR consultants to help them confidently manage their centres and everyday workplace challenges.
• Stand Out Staff: Our resume-building platform, helping job seekers create professional resumes that showcase their skills and experience. Although we operate three distinct services, we function as one team. Everyone plays a role in supporting the different areas of our business, and responsibilities often overlap across our brands. We collaborate, share priorities, and step in where needed rather than working in separate departments. In this position, you'll contribute to the success of all three services, with a particular focus on Directors Desk onboarding, client support, technology and systems management, and marketing communications. We're looking for someone who enjoys that variety, takes ownership of their responsibilities, and is comfortable shifting between different areas of the business as priorities evolve. A Closer Look at the RoleWe're looking for a proactive, tech-savvy, and highly organized individual who enjoys solving problems, working with people, and taking ownership of their work. As our Executive & Operations Administrator, you'll play an important role in keeping our day-to-day operations running smoothly. From welcoming new Directors Desk members and helping clients navigate our platforms to managing our backend systems and creating marketing materials, your work will directly impact the experience we deliver. This is a hands-on role with plenty of variety and independence. You won't be given a daily checklist of tasks to complete. Instead, you'll be trusted to manage your responsibilities, recognize what needs attention, troubleshoot challenges, and follow things through from start to finish. We're looking for someone who is comfortable taking initiative, confident communicating with clients, and willing to dig into technology to figure things out. You'll have a team to collaborate with and lean on when needed, but you'll also be expected to work independently, communicate proactively, and keep things moving without constant direction. If you enjoy a role where no two days look exactly the same, you get to use both your creative and problem-solving skills, and you take pride in making things happen, this could be a great fit. Where You'll Make an ImpactThere's plenty of variety in this role While your priorities will shift depending on what's happening across the business, these are the main areas you'll take ownership of. Creating a Great Client Experience
• Manage the Directors Desk onboarding process from start to finish, including account setup, invoicing, payment coordination, portal access, and welcome communications.
• Be a friendly and reliable point of contact for clients who need help navigating Directors Desk or accessing their resources.
• Investigate and troubleshoot client issues, whether that's a login problem, account concern, or something not working as expected.
• Communicate with clients through email, phone, and other channels, ensuring they feel informed and supported.
• Keep track of outstanding inquiries and follow through until they're resolved or appropriately escalated. Keeping Our Systems Running Smoothly
• Manage the backend of GoHighLevel (GHL), including client records, workflows, automations, and day-to-day system functionality.
• Identify and troubleshoot technical issues, researching solutions and knowing when to bring in additional support.
• Keep our systems organized, accurate, and up to date.
• Look for ways to improve processes, streamline workflows, and make things easier for our team and clients.
• Help implement new technology, tools, and processes as our business evolves. Bringing Our Marketing & Communications to Life
• Create newsletters, Instagram posts, graphics, and other digital content for our brands.
• Use Canva and other tools to develop professional, engaging materials that reflect our brand and messaging.
• Coordinate the scheduling and distribution of marketing communications.
• Help prepare presentations, webinar materials, event promotions, and other communications.
• Take content from an idea or direction through to a finished product, with attention to detail, quality, and deadlines. Supporting the Bigger Picture
• Support invoicing and accounts receivable processes through QuickBooks.
• Keep internal records, documentation, and workflows organized.
• Assist with event coordination, administrative projects, and other operational needs.
• Provide administrative support to our HR consulting team when needed.
• Pitch in across the business, recognizing where support is needed and helping move priorities forward. You'll Be a Great Fit If...
• You're a self-starter. You don't need someone checking in every day to make sure things are moving. You take initiative, manage your responsibilities, and follow through.
• You're the person who figures things out. When something isn't working, your first instinct is to investigate, explore options, and find a solution.
• You're comfortable with technology. You enjoy learning new platforms, understanding how systems work, and finding better ways to use them.
• You're a strong communicator. Whether you're helping a client, updating a coworker, or asking for guidance, you communicate clearly, professionally, and proactively.
• You're organized and detail-oriented. You can juggle competing priorities, keep track of the details, and take pride in delivering quality work.
• You have a creative side. You enjoy putting together content that looks good, reads well, and represents a brand professionally.
• You're adaptable. You understand that priorities can change, especially in a growing business, and you're comfortable adjusting along the way.
• You're a team player who takes ownership. You enjoy collaborating and supporting others, but you're equally comfortable working independently and being accountable for your responsibilities. The Experience & Skills We're AfterWe're more interested in finding the right person with the right mindset and abilities than someone who checks every box. Here's what would help you succeed:
• Experience in administration, client support, digital operations, or a related role.
• Strong computer skills and confidence navigating multiple software platforms.
• Experience with Canva and creating professional digital content.
• Excellent written communication, proofreading, and editing skills.
• Familiarity with Google Workspace, including Gmail, Docs, Sheets, and Drive.
• Experience with CRM platforms, automation tools, or GoHighLevel would be an asset.
• Experience with QuickBooks, newsletters, or social media scheduling would be an asset. You don't need to know every system we use on day one. We'll provide training and support to help you learn our processes. What matters most is that you're curious, resourceful, and willing to take the initiative to figure things out. What It Looks Like to Succeed HereWe believe in setting clear expectations, so here's what success in this position looks like to us:
• Our clients are taken care of. New Directors Desk members are onboarded smoothly, questions are answered, and technical issues don't get left hanging.
• Our systems work the way they should. Information is accurate, workflows are maintained, and issues are identified and addressed.
• Our marketing represents us well. Newsletters, social posts, and other materials are skilled, accurate, engaging, and delivered on time.
• Things keep moving. You manage your responsibilities, stay on top of deadlines, and don't need someone constantly following up.
• Communication happens naturally. You keep the right people informed, flag concerns early, and come forward with questions or recommendations when needed.
• You make things better. You notice opportunities to improve how we work and aren't afraid to suggest or implement a better approach. Sound Like Your Kind of Role?If you enjoy technology, helping people, getting creative, and being the person who makes things happen, we'd love to hear from you We're looking for someone who's excited to contribute, grow with us, and make a real impact across the Curbridge Group.
