Working closely with the Reconstruction Coordinator and Project Managers, the Assistant follows each job from preconstruction preparation through completion and invoicing readiness. Key responsibilitiesScheduling and project coordination
- Maintain the approved reconstruction schedule for internal repair crews, subcontractors, customer appointments, material deliveries and inspections arranged by the project team.
- Confirm trade availability, customer access, material readiness and completion of prerequisite work before scheduled activities. Flag missing approvals or other barriers to starting work.
- Maintain a two-week lookahead identifying upcoming work, labour allocations, selection deadlines, deliveries and scheduling conflicts.

- Provide professional updates through company email, approved text messaging and customer portals regarding upcoming work, appointments, selections, deliveries and approved schedule changes.
- Send appointment confirmations and clear preparation instructions supplied by the project team. Distinguish confirmed dates from provisional plans.
- Provide a progress update at least weekly during active reconstruction, and promptly advise customers of material changes affecting their work or access arrangements.
- Acknowledge routine inquiries within one business day and follow through until answered or transferred to the appropriate person. Escalate urgent issues promptly during working hours.
- Refer technical questions, complaints, scope disputes, pricing commitments and insurance coverage questions to the appropriate Project Manager or Coordinator. Document communications and protect customer information.
Completion and invoicing readiness
- Maintain deficiency lists and follow-up appointments, recording completion only after confirmation by the responsible project or field team.
- Collect required completion documents, customer acknowledgements, warranties, receipts and approved change records. Track outstanding returns, credits and purchase documentation.
- Prepare organized files for Project Manager closeout review and Accounting invoicing. Identify missing information and follow up until the administrative requirements are complete.
Authority and accountability
The Assistant coordinates approved activities and maintains accurate project information within delegated authority. Production priorities, field supervision,
technical decisions and final project approvals remain with the Reconstruction Coordinator, Project Manager or other authorized manager.
The Assistant obtains approval for scope changes, substitutions, spending beyond approved limits, additional labour, customer concessions and revised completion commitments.
