Who We Are

At Elevate Aviation, we are committed to creating meaningful pathways into aviation and supporting people as they build careers in the industry. For many, that pathway starts in a classroom when a young person realizes this industry has a place for them. Our youth programs, including Aviation Career Exploration (ACE) and Junior Jets, are where that moment happens, and they form the foundation of our kindergarten-to-career pathway into aviation.

We are seeking a Youth Programs Assistant to make that experience possible behind the scenes. This role is the organizational backbone of our school programming, ensuring participating schools arrive prepared and every program day runs as planned.

Working closely with the Youth Programs Manager, the Youth Programs Assistant will serve as a primary administrative contact for participating schools and may also step into the classroom to support ACE and Junior Jets facilitation.

This position is ideal for someone who is highly organized, communicates clearly and warmly with educators, and can manage many moving pieces across multiple schools at once. Comfort working with young learners is an asset, as is a genuine belief that every child deserves to see themselves in aviation.

Key Responsibilities

Program Coordination and Administration

- Coordinate annual teacher orientations for participating schools.
- Monitor and respond to Youth Programs inquiries received through the Elevate Aviation website, maintaining an accurate inquiry and tracking spreadsheet.
- Assist in finding opportunities for new bookings.
- Participate in monthly meetings with external partners.
- Liaise with schools and partners regarding program requirements, scheduling, and site visits.
- Coordinate and distribute monthly video assignments and related program materials to participating schools.
- Maintain centralized program calendars, tracking bookings, upcoming program dates, preparation requirements, and key deadlines.
- Maintain accurate and organized program records, documentation, and tracking systems.

School Communications and Program Preparation

- Serve as a primary administrative contact for participating schools regarding program preparation and requirements.
- Coordinate pre-program communications, including scheduling reminders, group sizes, student ages, special requests, and accessibility or learning considerations.
- Communicate program requirements, including parent volunteer participation, consent forms, early dismissals, and other logistical details.
- Distribute and follow up on program surveys, payment reminders, and required documentation.

- Ensure relevant program information is collected and communicated to the Youth Programs Manager and facilitators in advance of delivery.

Program Resources and Classroom Preparation

- Coordinate classroom setup and preparation for upcoming ACE sessions.
- Organize and maintain pre- and post-program survey results in Google Drive.
- Monitor program supplies and submit requests to the Office Manager for required materials, including journals, lanyards, name tags, pens, prizes, canisters, and classroom supplies.
- Ensure program materials, resources, and equipment are organized and available ahead of scheduled delivery.
- Assist Youth Programs Manager with creation of new materials and resources as required.

Facilitation Support

- Provide occasional backup facilitation for ACE and Junior Jets programming, as required.
- Support classroom activities, student engagement, and program delivery when additional coverage is needed.
- Assist with maintaining a safe, inclusive, and engaging learning environment during program activities.
- Work collaboratively with the Youth Programs Manager and facilitators to ensure continuity of programming when providing coverage.

Qualification Guidelines

- Post-secondary education in education, child and youth care, communications, program administration, or a related field, or an equivalent combination of education and experience, with two or more years of relevant experience preferred.
- Experience in program coordination, administration, or event logistics, ideally within a school, youth-serving, or not-for-profit setting.
- Experience working with educators, school administrators, or community partners is considered an asset.
- Experience working with children or youth in a classroom, camp, or community program setting.
- Exceptional organizational and time management skills, with the ability to track multiple schools, bookings, and deadlines at once.
- Excellent attention to detail and a commitment to accurate records and follow-through.
- Clear, warm, and professional written and verbal communication, with the ability to adapt tone for teachers, parents, partners, and colleagues.
- Proficiency with Google Workspace, particularly Sheets, Drive, and Calendar, and comfort learning new tools and systems.
- Ability to work independently on routine responsibilities while recognizing when issues should be escalated to the Youth Programs Manager.
- Sound judgment and the ability to handle student, school, and partner information with confidentiality and care.

- Comfort supporting classroom activities and helping maintain a safe, inclusive, and engaging learning environment.
- A collaborative, flexible approach and willingness to step in where needed to keep programming on track.
- An interest in aviation, education, or youth development is considered an asset.

Work Environment

This position is primarily based on-site at the Elevate Aviation Learning Centre, located at the Edmonton International Airport. It requires regular interaction with students, teachers, school administrators, parents, facilitators, and staff.

Occasional flexibility to work remotely may be available when program schedules permit.

The role involves a combination of school communications, scheduling, program coordination, record keeping, classroom setup, and occasional facilitation support. It includes intermittent physical activity such as walking, standing, and light lifting when preparing classrooms and managing program supplies.

Occasional early mornings, evenings, or weekends, as well as travel, may be required to support school programming, partner meetings, and community events.

This is a part-time salaried position working 20 hours per week.

- Annual salary of $31,200

- Eligible for GRSP matching plan after six months of employment
