About Vardhan Law

Vardhan Law is a growing, client-focused law firm based in Toronto & Cambridge, Ontario, providing legal services across family law, criminal defence, civil litigation, and other practice areas.

We are committed to delivering high-quality legal representation while maintaining professionalism, efficiency, and attention to detail. We are seeking an experienced and motivated Senior Legal Assistant / Law Clerk to join our team and play an important role in supporting our litigation practice.

The Role

This position combines substantive law clerk responsibilities with senior legal assistant duties, with a primary emphasis on family law and litigation.

The successful candidate will work closely with lawyers and be responsible for preparing legal documents, coordinating court filings, managing deadlines, communicating with clients, and assisting with matters from initial intake through resolution.

This is not solely an administrative position. We are looking for someone with strong legal drafting skills, practical knowledge of Ontario court procedures, and the ability to manage assigned tasks independently under lawyer supervision.

Key Responsibilities

Law Clerk and Litigation Support

- Draft, prepare, revise, and finalize legal documents, including applications, answers, affidavits, motions, pleadings, briefs, settlement documents, separation agreements, and correspondence.
- Prepare family law financial statements, organize financial disclosure, assist with Net Family Property calculations, and prepare child and spousal support calculations.
- Assist with family law proceedings, including case conferences, settlement conferences, motions, and trials.
- Prepare motion records, continuing records, trial briefs, application records, books of authorities, and supporting evidence.
- Assist with criminal and civil litigation matters, including reviewing disclosure, organizing evidence, drafting court documents, and preparing litigation materials.
- Coordinate electronic court filings through applicable Ontario court portals and ensure compliance with filing, service, and procedural requirements.
- Conduct legal research using CanLII and other legal research platforms.
- Review and summarize client documentation, financial records, disclosure, correspondence,

and other relevant materials.
- Liaise with court staff, opposing counsel, process servers, mediators, and other third parties.

Legal Assistant and File Management Responsibilities

- Manage lawyers' calendars, court dates, appointments, deadlines, limitation periods, and follow-up tasks.
- Draft and manage professional correspondence with clients, opposing counsel, courts, and third parties.
- Assist with client intake, file opening and closing, collection of documents, and ongoing client communication.
- Maintain organized electronic and physical client files, ensuring documents are accurately named, filed, and easily retrievable.
- Assist with billing, time entries, maintaining client records, and updating the firm's practice management system.
- Proofread and review documents for accuracy, completeness, formatting, and compliance before filing or service.
- Monitor assigned files and proactively follow up on outstanding documents, deadlines, and procedural steps.
- Provide general administrative and operational support as required.

Qualifications and Experience

- Minimum 3 years of experience working as a legal assistant, law clerk, litigation assistant, or in a comparable position within an Ontario law firm is preferred.
- Prior family law experience is strongly preferred, particularly with family court documents, financial statements, disclosure, and litigation procedures.
- A Law Clerk diploma, Legal Assistant diploma, or equivalent combination of education and practical experience.
- Working knowledge of the Ontario Family Law Rules, court procedures, service requirements, and electronic filing systems.
- Demonstrated ability to draft legal correspondence, court forms, affidavits, motions, and other litigation documents with minimal supervision.
- Experience preparing Net Family Property statements and support calculations is a significant asset.

- Familiarity with DivorceMate or comparable family law software is an asset.
- Proficiency with CanLII, Microsoft Word, Outlook, Excel, Adobe Acrobat, and Microsoft 365.
- Experience with CosmoLex or other legal practice management systems is an asset.
- Excellent organizational skills, attention to detail, and ability to manage multiple files and competing deadlines.
- Strong written and verbal communication skills.
- Ability to work independently, take initiative, and follow lawyer instructions and established procedures.
- Professionalism, discretion, and sound judgment when handling confidential and sensitive legal matters.

Experience in criminal law or civil litigation, in addition to family law, will be considered an advantage.

The Ideal Candidate

We are looking for someone who is dependable, detail-oriented, and confident in their ability to prepare high-quality legal documents and manage litigation-related tasks.

The ideal candidate will be proactive rather than reactive, take ownership of assigned responsibilities, identify outstanding steps, anticipate deadlines, and ensure that files continue moving forward.

The successful candidate should be comfortable working in a busy litigation environment, handling competing priorities, communicating professionally with clients, and maintaining high standards of accuracy and accountability.

Why Join Vardhan Law?
