Gracie Barra West Vancouver is hiring a part-time Program Director to run our front desk, turn leads into members, keep families engaged and keep our programs running smoothly.
About us
Gracie Barra West Vancouver is part of Gracie Barra, the largest Brazilian Jiu-Jitsu team in the world, with over 1,000 schools. Our motto is "Jiu-Jitsu for Everyone," and we live it every day.
We serve families across West Vancouver and the North Shore with Adult Jiu-Jitsu (Gi and No-Gi), Kickboxing, Women's Only classes, Kids programs from age 2 to 12, and an After School Program with school pick-up and drop-off. Most of our members started from zero, and our community is known for being welcoming, supportive and family-oriented.
We're located at 1765 Bellevue Avenue (Hollyburn Plaza), West Vancouver.
The role
The Program Director is the first person new families meet and the person who keeps our members happy and training. You'll own the journey from first inquiry to loyal member: answering leads, booking and welcoming trial classes, enrolling new students, and following up with families who need support to stay.
You'll work closely with our Head Coach and report directly to the school owner. This is a hands-on role that blends customer service, sales, communication and organization, ideal for someone who loves people and wants to help grow a community. We're looking for a proactive go-getter: someone who doesn't wait for leads to come in, but goes out and finds new families, schools and partners.
Responsibilities
Leads and enrollment
- Respond to new leads from Instagram, Facebook, email, phone and SMS quickly, ideally within the same hour
- Follow our lead follow-up flow (SMS and email sequence) until each lead books or closes
- Book trial classes, send confirmations and reminders, and welcome families at the front desk
- Present membership options after trial classes and complete enrollments, in person, by phone or online
Business development and outreach
- Proactively find and reach out to potential new members, not just wait for inbound leads
- Contact local schools by email, phone and in person to promote our Kids and After School programs and grow our pick-up routes
- Build partnerships with local businesses, community centres, daycares, sports clubs and parent groups across West Vancouver and the North Shore
- Plan and attend community events, school fairs and open houses to generate current leads
- Re-engage past leads and former members with timely, personal follow-ups
Member retention
- Handle cancellation and pause requests with empathy, offering alternatives such as plan changes or holds
- Reach out to members who haven't trained in two weeks
- Track paused memberships and contact families before their return date
After School Program
- Answer inquiries and enroll families in the After School Program
- Coordinate with the transportation team on school pick-up routes and schedules
- Keep parents updated through our family communication app
Operations and communication
- Keep member records, billing and waivers up to date in GB Members (our CRM)
- Prepare and send newsletters, event announcements and seasonal campaigns
- Support events such as competitions (CompNet), belt promotions and open houses
- Track weekly numbers: leads, trial classes booked, shows, enrollments and cancellations
- Manage the front desk and pro shop sales (uniforms and gear)
What we're looking for
Must-haves
- 1+ year of experience in customer service, sales,
front desk, or member or client relations
- Excellent written and spoken English, with a warm, professional tone
- Proactive and self-motivated, comfortable with cold outreach, phone calls, follow-ups and asking for the sale
- Organized and reliable, with strong attention to detail (names, dates, billing)
- Comfortable with technology: CRM systems, email, social media messaging and Google Workspace
- Great with kids and families
- Available on weekday afternoons and evenings, plus some Saturdays
- Eligible to work in Canada
Nice-to-haves
- Experience at a gym, martial arts school, fitness studio or kids' activity program
- Brazilian Jiu-Jitsu or martial arts background (not required)
- Experience with email marketing or social media content
- A second language, such as Farsi, Mandarin, Spanish or Portuguese
- Valid BC driver's license
- Current First Aid certification, or willingness to obtain it

- Schedule: Monday to Friday, [2:00 PM – 6:00 PM], plus some Saturday mornings for events
- Pay: $1,500.00 per month, plus a commission per every 20 new enrollments.
