We move quickly, set a high standard, and care deeply about doing excellent work. You will be trusted with meaningful responsibility, supported by approachable leaders, and encouraged to ask questions, solve problems, and keep improving.
WHAT YOU CAN EXPECT:
- A hands-on role with meaningful client contact and a variety of daily responsibilities
- Supportive colleagues, approachable leaders, and opportunities to learn
- The opportunity to help clients have a positive, organized experience
- A collaborative team that values relationships, accountability, and follow-through
- A 37.5-hour work week, flexible hours, flex Fridays, hybrid work arrangements where appropriate, and a flexible wellness benefits package
RESPONSIBILITIES You will help keep client service and engagement workflows on track. Your responsibilities will include:
- Respond to routine client inquiries, coordinate appointments, and make sure requests reach the right team member
- Track client requests and commitments, follow up on next steps, and flag service concerns early
- Coordinate schedules and outstanding information for year-end, compilation, tax, review, and audit engagements with Team Leads and the delivery team
- Support recent work intake,
maintain current job status and deadlines in iFirm or approved systems, and flag stalled work or conflicting priorities
- Coordinate document collection, signatures, approved delivery steps, and administrative job close-out after the required professional reviews
- Support new-client onboarding, contact records, portal access, standard correspondence, and service transitions
- Assist with approved billing administration, invoice finalization, payment arrangements, and accounts-receivable follow-up
- Route CRA and other government correspondence to the appropriate professional for review or response
- Keep checklists and administrative procedures current and suggest improvements that reduce delays or client frustration
- Protect confidential information and refer accounting, tax, payroll, regulatory, pricing, and other professional matters to the appropriate person
WHO WILL THRIVE HERE We are looking for people who are humble, hungry, and people-smart:
- Humble: You are open to feedback, willing to learn, and focused on helping the team succeed.
- Hungry: You take initiative, follow through, and notice what needs attention before being asked.
- People-smart: You communicate clearly, build trust, and know when to involve the right person.
You will also be successful if you:
- Enjoy creating a warm, professional experience for clients
- Are organized, accurate, and dependable when managing competing deadlines
- Take ownership of routine issues and escalate sensitive matters appropriately
- Stay calm when priorities shift and keep others informed
- Enjoy improving processes and learning new technology
WHAT YOU BRING What will help you succeed:
- Previous administration, professional-services, or customer-service experience
- Strong client-service and communication skills, including active listening
- Excellent organization, time management, and follow-through
- Ability to coordinate several clients, priorities, and deadlines with minimal supervision
- Sound judgment, discretion, and care with sensitive financial information
- Comfort with Microsoft Office and willingness to learn new systems
Strong assets, but not deal-breakers:
- Experience in an accounting firm or with engagement workflow coordination
- Familiarity with iFirm, CaseWare, QuickBooks, or similar applications
