Clairmont

Position Overview

The Project Coordinator keeps the paperwork and the materials moving on every job so our Project Managers can focus on clients, cost and schedule. The PC owns project purchasing from takeoff to paid invoices, keeps project documents organized and current, and is the office's daily link to our Superintendents.

Anything bought for one specific job is bought by the PC. Equipment, tools, consumables, shop and yard supplies, and anything for our vehicles and buildings are bought by the Purchaser.

Enframe is a family-owned, COR-certified builder doing commercial, industrial, institutional and agricultural work across the Peace region, Alberta and parts of BC. We operate with integrity and expect honest, respectful work from everyone on the team.

Core Responsibilities

1. Project Purchasing

- Purchase all project materials, supplier packages (trusses, steel, doors, windows and similar) and job-specific equipment rentals, working from the takeoffs prepared by the Purchaser and the PM's direction.
- Check yard inventory with the Purchaser before ordering, and use what we already have first.
- Get and compare supplier quotes, and issue purchase orders within approval limits.
- Send Requests for Proposal to trade partners, collect and compare bids for the PM, and issue subcontract POs once the PM awards the work.
- Expedite orders and track long-lead items, and warn the PM and Superintendent early when something is going to be late.
- Schedule deliveries to site with suppliers, and request our own trucks from the Purchaser when we are hauling.
- Handle Superintendents' day-to-day material requests for upcoming work.

2. Project Documents

- Set up and maintain each project folder,

including the Project Specifications document built from the proposal, drawings and updates from Sales and the PM.
- Distribute drawings and revisions, and make sure the field is building from the current set.
- Log and track RFIs and submittals, and follow up with designers, engineers and suppliers until they are closed.
- Keep the change order log and prepare change order paperwork for the PM to price and approve.
- Take minutes at project meetings and follow up on action items.
- Assemble closeout packages: O&M; manuals, warranties and as-built drawings.

3. Field Coordination

- Talk with Superintendents daily about materials, deliveries and trade scheduling.
- Schedule trade partners as directed by the PM.
- Review daily site reports and flag schedule or cost issues to the PM.
- Keep project safety paperwork filed (site-specific hazard assessments, orientations, trade partner safety documents) in support of our COR program under Alberta OHS.

4. Cost Support

- Match supplier and subcontractor invoices to POs and signed delivery slips before they go to the PM for approval and to the Controller for payment.
- Make sure every purchase is coded to the right job and cost code.
- At job end, arrange the return of surplus project materials to the yard and make sure the job is credited.

5. Working with the Purchaser

- Turn the Purchaser's takeoffs into orders. If a change order or drawing revision changes quantities, ask the Purchaser to update the takeoff before buying.
- Request our trucks and equipment for a job through the Purchaser.
- Send surplus back to the Purchaser to count into inventory when a job wraps up.

Key Performance Indicators (KPIs)

- Material Availability: Materials are on site when the crew needs them, and delays are flagged before they hit the schedule.
- Purchasing Control: POs are issued before material ships, and every invoice is matched before it is approved.
- Log Accuracy: RFI, submittal and change order logs are current every week.
- Closeout: The closeout package is complete at handover.

Qualifications

- Two or more years in construction project coordination, construction purchasing, or a contractor supply or building supply role.
- Working knowledge of construction materials, ideally wood frame, post-frame and steel cladding, and the ability to read construction drawings.
- Comfortable with Excel, Microsoft 365 and project management software.
- Organized and dependable, with good follow-through when juggling several jobs and PMs at once.
- Transparent and comfortable on the phone with suppliers, trades and Superintendents.
- Valid Class 5 driver's licence

Pay: $30.00-$40.00 per hour
