About Initio Medical Group

Initio Medical Group is a growing healthcare organization committed to delivering exceptional patient care through advanced medical imaging, innovative treatment programs, and strong partnerships across British Columbia’s healthcare system.

We are expanding to include a new advanced screening clinic focused on proactive, preventive healthcare. Our team works in a highly collaborative, patient-centered environment where clinical excellence, operational efficiency, compassion, and accountability are equally important. We are looking for an experienced, hands-on Clinic Manager to help launch the clinic, build and train its founding team, and then lead its day-to-day operations.

The Opportunity

Reporting to the senior leadership and executive team, the Clinic Manager is responsible for helping bring our advanced screening and preventative medicine clinic from planning to opening day and for leading its successful operation afterward. This includes clinic start-up and readiness, team building and training, patient experience, workflow design, operational performance, quality improvement, and administrative oversight.

This is a hands-on leadership position with a significant start-up component. The successful candidate will help shape how the clinic runs from day one by establishing workflows, building training programs, and developing the culture of a new team. They will be visible and engaged within the clinic, proactively identify operational challenges, and work alongside staff to ensure patients receive safe, efficient, and compassionate care.

Key Responsibilities

Clinic Start-Up & Launch

· Develop, document, and implement policies, procedures, SOPs, and operational standards before and during opening.

· Support the implementation of clinic systems, including scheduling, EMR/RIS/PACS or comparable platforms, patient communication tools, and reporting processes.

· Participate in recruitment and hiring of clinic staff, including participating in interviews and selection.

· Assist the senior leadership team with soft-launch and ramp-up activities, including performing readiness checks, staff training, gathering feedback, and make timely adjustments as patient volumes grow.

Team Leadership, Training & Performance

· Provide day-to-day leadership, direction, coaching, and support to clinic staff.

· Build a founding team culture that is positive, respectful, collaborative, and accountable.

· Design and deliver onboarding and training programs covering clinic workflows, patient experience standards, privacy, safety, systems, and role-specific competencies.

· Train and manage employees to understand their roles, responsibilities, workflows, and performance expectations.

· Monitor individual and team performance

· Conduct regular staff check-ins, performance discussions, coaching, and development planning.

· Develop ongoing education, cross-training, and competency assessment to support a skilled and flexible team.

· Coordinate staffing and clinic coverage to ensure operational needs are consistently met.

· Address employee concerns and performance issues professionally, consistently, and in collaboration with senior leadership when required.

· Facilitate effective communication between administrative, technical, clinical, physician, and leadership teams.

Clinic Operations

· Oversee daily clinic operations and ensure workflows run safely, efficiently, and consistently.

· Monitor appointment schedules, patient flow, staffing requirements, clinic capacity, and operational priorities.

· Manage the screening patient journey from booking and intake through screening, reporting, and follow-up.

· Identify workflow gaps, delays, bottlenecks, and opportunities for improvement.

· Ensure established policies, procedures, SOPs, and operational standards are followed.

· Support the implementation of new programs, services, technologies,

and operational processes as the clinic evolves.

· Maintain appropriate clinic supplies and coordinate operational requirements with vendors and service providers.

· Escalate significant operational, staffing, safety, or patient concerns appropriately.

· Work collaboratively with senior leadership to achieve organizational and departmental goals.

Patient Experience

At Initio, patient experience is central to how we measure success. In a screening environment, where many patients are healthy and attending proactively, clear communication, trust, and a calm, welcoming experience are especially important.

The Clinic Manager will:

· Champion a culture of compassionate, respectful, patient-centered care.

· Ensure patients feel informed, safe, respected, and supported throughout their experience, including the often anxious wait for results.

· Ensure patients understand what to expect from their screening, including preparation, process, and next steps.

· Monitor patient feedback and identify opportunities to continuously improve service.

· Support staff in navigating difficult or sensitive patient interactions.

· Respond to patient concerns and complaints professionally and compassionately.

· Ensure communication with patients, families, referring providers, and members of the patient’s care team meets Initio’s standards.

· Work with clinical and physician teams to ensure results and follow-up recommendations are communicated in a timely and coordinated manner.

· Reinforce the importance of accurate and timely documentation of patient and provider interactions.

Quality, Safety & Compliance

· Support compliance with applicable healthcare, privacy, occupational health and safety, and regulatory requirements.

· Ensure staff follow established privacy, confidentiality, infection prevention, safety, and documentation standards, with particular attention to the protection of sensitive personal health information.

· Support accreditation, licensing, and quality assurance requirements applicable to the clinic.

· Participate in quality assurance and continuous quality improvement initiatives.

· Support incident reporting, investigation, follow-up, and implementation of corrective actions when required.

· Support appropriate processes for managing incidental findings, results follow-up, and referrals, in coordination with clinical leadership.

· Maintain appropriate operational documentation and ensure required records are complete and current.

· Promote a culture where patient safety, employee safety, quality, and accountability are shared responsibilities.

Performance & Continuous Improvement

· Analyze clinic performance and identify trends, risks, and improvement opportunities.

· Develop action plans when performance falls below expectations.

· Support the development and refinement of workflows, policies, procedures, and operational tools as the clinic matures.

· Participate in clinic growth initiatives and help operationalize new programs and partnerships.

· Remains calm, organized, and flexible when priorities shift in a busy, growing healthcare environment.

· Understands that excellent patient care depends on excellent teamwork.
