CHEETAH FACTORY RACING
POSITION DESCRIPTION
Operations Manager
About: Cheetah Factory Racing
Cheetah Factory Racing designs and manufactures high-performance motocross and off-road products. We are a small, passionate team that moves fast and takes pride in quality. This role is a genuine prospect to build the operational foundation of a growing brand in industries we are passionate about.
Position Overview
Cheetah Factory Racing is a fast-growing motorsports brand specializing in snowmobile and Dirtbike performance products Based in Pemberton, BC. As we scale, we need an experienced Operations Manager to bring structure, accountability, and operational discipline to our team. This is a hands-on leadership role for someone who thrives in a small-company environment, can build systems from scratch, and wants to grow with the business.
The Operations Manager will own the day operations of the business — from warehouse floor to Shopify product catalogue. You will report directly to the CEO and are responsible for ensuring inventory is accurate, the ordering cycle runs proactively, the team has clear roles and accountability, and customer service operates to a consistent standard.
Key Responsibilities:
Manage customer service, shipping and warehouse teams:
Manage and mentor a team of three, owning day-to-day workflow, performance and development while building a culture of accountability and continuous improvement. Building the team as the business grows by shaping roles, hiring and on boarding new members.
Inventory Management, Ordering Cycle & Shopify Ownership:
This is a core pillar of the role. The Operations Manager is the single accountable owner for inventory accuracy, the purchasing cycle, and the Shopify product catalogue.
Inventory accuracy & cycle counts:
• Design and run a regular inventory cycle count schedule — ensuring physical stock is counted, reconciled, and corrected on a cadence that keeps the business confident in its numbers
• Investigate and resolve discrepancies between physical counts and system quantities
• Ensure receiving processes are tight — every inbound shipment logged and matched against purchase orders before stock is put away
Ordering cycle & purchasing support:
• Own the reorder process end-to-end: monitor stock levels against sales velocity and lead times, identify what needs to be ordered and by when, and surface clear purchasing recommendations to the CEO for approval
• Build and maintain a reorder dashboard or reporting view so Dave has visibility at a glance — no more catching stock outs after the fact
• Track outstanding purchase orders and follow up with suppliers to ensure on-time delivery
• Collaborate with head of dealer sales (dealer sales) and Brandon (moto team) to anticipate demand for new or seasonal product
Shopify product & inventory ownership:
• Own the accuracy and completeness of all products and inventory in Shopify — this is the source of truth for the business and the storefront for customers
• Ensure stock levels in Shopify reflect physical inventory at all times; establish a clear sync process with the warehouse team
• Coordinate with the team on product listings — ensuring new products are published with correct inventory quantities, descriptions, and variants
• Audit Shopify regularly for discrepancies, out-of-stock items, and listing errors; resolve or escalate promptly
• Own the process for getting new products live in Shopify as part of each product launch cycle
Shipping & Receiving
- Oversee inbound and outbound shipping operations, managed day-to-day by the Team.
• Ensure outbound DTC and dealer orders are fulfilled accurately and on time
• Monitor shipping performance and flag carrier or process issues
• Maintain clear receiving procedures so every inbound shipment updates inventory correctly
• Owning relationship with shipping carriers and US 3PL.
Customer Service Management:
Directly manage the customer service function.
• Set response time standards and monitor adherence
• Build or refine CS processes, templates, and escalation paths
• Review recurring complaint themes and surface product or process improvement opportunities to the broader team
• Manage workload planning — flagging when CS capacity needs to expand
Cross-Functional Coordination
- Serve as the operational liaison between warehouse, sales, product development, and creative.
• Flag operational blockers that affect product launches or fulfilment timelines
• Provide the CEO with regular operations reporting — a weekly or bi-weekly summary covering inventory health, order pipeline, open purchasing needs, and team status
Qualifications & Experience required:
- 3+ years in an operations, office management, or general management role in a small-to-mid-size product company
• Demonstrated experience owning HR basics: job descriptions, performance reviews, and employee management
• Hands-on experience with inventory management, cycle counts, and purchasing/reorder processes
• Direct experience managing products and inventory in Shopify — not just awareness, but ownership
• Ability to build and maintain simple reporting or dashboards to support purchasing decisions
• Strong written communication — able to build clear processes, templates, and documentation
Nice to Have
- Experience in the power sports, automotive aftermarket, or outdoor/action sports industry.
- Familiarity with dealer/wholesale channel fulfillment and demand planning.
- Experience scaling a CS function from one to multiple reps.
- Exposure to working alongside an outsourced bookkeeping team.
