Event Assistant – School Programs & Experiential Learning (Field Trips)

Position Overview
Flashpoint Training is seeking enthusiastic, organized, and reliable Event Assistants to support the delivery of our in-school training sessions, SHSM certifications, and experiential learning events across the Greater Toronto Area.

Working alongside our Lead Facilitators, the Event Assistant helps ensure sessions run smoothly by managing event logistics, supporting student activities, welcoming guests, and assisting with the overall flow of the day.
This is primarily a support and hosting role, not a lead facilitation position. While there may be opportunities to assist with small-group activities or portions of a session, the Lead Facilitator remains responsible for delivering the training and instructional content.

- Help keep sessions running on schedule and support transitions between activities.
- Coordinate refreshments, lunches, and other event logistics when applicable.
- Ensure guests and partners have a positive, professional experience

4. Student Engagement & Event Flow
- Help create a positive, inclusive, and welcoming learning environment.
- Encourage student participation and collaboration.
- Assist with organizing students into groups and managing activity stations.

5. Event Wrap-Up
- Assist with collecting materials, organizing equipment, and packing supplies.
- Support the collection of student feedback or other event documentation.
- Communicate any logistical issues, concerns, or suggestions to the Lead Facilitator.
- Help ensure the venue is left clean and organized.
Qualifications & Skills
- Strong interpersonal and communication skills.
- Friendly, professional, and comfortable interacting with teenagers, teachers, and industry professionals.
- Organized, dependable, and able to manage multiple tasks.
- Comfortable working in busy school and event environments.
- Ability to take direction while also identifying where support is needed.
- Basic computer and presentation technology skills.
- Experience in event coordination, customer service, hospitality, education, recreation, or youth programming is an asset.
- Previous facilitation or teaching experience is not required.
Work Environment & Expectations
- Primarily weekday assignments during regular school hours.
- Sessions take place at schools and experiential learning venues throughout the GTA and surrounding regions.
- Assignments are scheduled based on program demand and availability.
- Some travel between locations may be required.
- Successful candidates must meet applicable school-board requirements for working in school environments, including background screening where required.
What We're Looking For The ideal Event Assistant is someone who enjoys working with people, is comfortable in a quick-paced environment, and takes pride in making events run smoothly. You don't need to be a teacher or an experienced facilitator. We're looking for someone who is personable, proactive, organized, and willing to jump in wherever support is needed.
Your job is to help our Facilitators focus on delivering great training while ensuring students, teachers, and guests have an excellent experience.
