About Canadian Craft Tours
Canadian Craft Tours provides craft brewery and winery experiences, private tours, corporate transportation and charter services. We’re looking for an organized, proactive Operations Coordinator to help keep our operations running smoothly.
You’ll work closely with our drivers, dispatch team, maintenance lead and sales team to keep schedules accurate, prepare bookings for service, coordinate driver and vehicle assignments, and deliver a reliable customer experience.
What you’ll do
Scheduling and booking management
- Maintain an accurate, up-to-date operating schedule across BC, Alberta and a supporting role with Ontario.
- Assign drivers and vehicles based on availability, vehicle capacity, trip requirements and applicable operating limits.
- Review upcoming bookings to identify scheduling conflicts, missing information and coverage gaps before they affect service.
- Update itineraries, pickup and drop-off details, passenger counts, customer contact information and internal booking notes.
- Process booking payments and approved charges, update outstanding balances, and make booking or billing adjustments in accordance with company policies.
- Communicate changes promptly so drivers, dispatchers and customers have the information they need.
Fleet and maintenance coordination
- Work with the maintenance lead daily to review vehicle availability, reported defects, upcoming repairs and service requirements.
- Remove unavailable vehicles from the operating schedule and coordinate replacement assignments as needed.
- Confirm clearance with the maintenance lead before returning vehicles to the schedule.
- Keep the monthly maintenance and vehicle outage trackers current, including repair status,
expected downtime and return-to-service updates.
Dispatch and team support
- Help coordinate and support the dispatch team with clear priorities, instructions and handoffs.
- Plan weekly dispatch coverage and address gaps in advance.
- Support dispatch with day-to-day service issues, driver questions, last-minute changes and customer concerns.
- Escalate significant operational, staffing or service issues to management.
- Provide evening and weekend operational support as required.
Sales and customer coordination
- Support the sales team in closing private charter and brewery, winery and distillery tour bookings by confirming availability, operational feasibility and service details.
- Contact customers to obtain missing information and finalize itineraries and booking requirements.
- Ensure confirmed bookings are accurately entered into the operating schedule and booking system.
- Identify suitable opportunities for upgrades, additional services and repeat bookings.
What you bring
- Ideally, two or more years of experience in transportation operations, dispatch, logistics, tourism or a related coordination role.
- Strong attention to detail and the ability to manage multiple schedules, bookings and competing priorities.
- Clear, skilled communication and a customer-focused approach.
- Confidence using booking systems,
CRM software, spreadsheets and shared scheduling tools.
- Comfort processing payments and maintaining accurate customer and financial records.
- Sound judgment, a calm approach to unexpected changes and a commitment to following through.
- Flexibility to work evenings and weekends as required.
The following would be considered assets:
- Supervisory or team-lead experience.
- Familiarity with commercial passenger transportation, driver scheduling and fleet maintenance coordination.
- Experience with HubSpot CRM or Peek Pro booking software.
What success looks like Schedules are accurate, bookings are complete, payments are processed on time, and drivers and vehicles are ready for service. Maintenance updates are promptly reflected in vehicle availability, dispatch coverage is planned each week, and sales and operations work together to deliver a well-organized customer experience.
