JOB SUMMARY:

Within the context of a client and family centered care model and in accordance with established vision and values of the organization, position works in a team-based setting and provides supervision and work direction to designated clerical staff. Is responsible for providing a variety of administrative, clerical and other related duties for designated team(s) in the operation of day-to-day activities and long range planning across multiple sites. Duties include preparing community and team intake referrals, nursing & allied staff rotations, maintaining staffing schedules and records on regular and relief staff and processing accurate timekeeping records.

Maintains the designated team’s appointment calendar, screens incoming mail and calls, maintains the accuracy and integrity of statistical records and reports, arranges ongoing education lectures and processes petty cash reimbursements and education funding requests. Arranges and participates in meetings, prepares agendas and takes minutes. Prepares technical and non-technical material utilizing word processing, spreadsheets, graphics, database applications and clinical information systems such as MS Word, PowerPoint, Excel, Access, PCIS Last Word, CareConnect, e-Pro, MS-Outlook, LOKI and PARIS.

Performs reception duties, maintains sufficient levels of general office supplies, oversees the modification, maintenance and purchase of equipment and sets up and maintains department filing systems.

QUALIFICATIONS:

Education &

Experience

Grade 12, graduation from a recognized secretarial program, plus three (3) years’ recent related experience, including one year in a supervisory capacity, or an equivalent combination of education, training and experience.

The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.
