About Smith & Long Limited:
For over 90 years, Smith & Long Limited has been one of Canada's largest and most trusted multi-trade contractors, delivering comprehensive Electrical, HVACR/Mechanical, Plumbing, Sheet Metal, Engineering, and 24/7 Emergency Response services across Canada. While built on nearly a century of trade craftsmanship and scale, we operate internally with the agility, drive, and collaborative energy of a tech start-up. We challenge the status quo, champion continuous improvement, and empower every team member to take true ownership of their craft.
Position Summary:
Reporting directly to the Operations Manager, the Asset Management Specialist (Tool & Asset Administrator) oversees the complete lifecycle management of all company-owned tools, equipment, and operational assets. In this pivotal role, you will serve as the company’s chief steward of tool and equipment accountability—ensuring assets are tracked, returned in prime condition, properly maintained, calibrated, and readily available to support our fast-paced field operations while minimizing loss, controlling rental costs, and maximizing utilization.
Key Duties and Responsibilities:
· Asset Management & Digital Tracking: Oversee the daily issuance and return of company tools and equipment. Maintain flawless digital records utilizing platforms such as Milwaukee One-Key, GigaTrak, RFID systems, barcode platforms, and ERP inventory software. Ensure all assets are accurately tagged, identified, and cataloged with complete ownership, assignment, and service histories.
· Tool Accountability & Loss Prevention: Proactively track overdue, missing, or unreturned tools. Follow up with employees, site supervisors, and project teams; conduct investigations into missing or damaged equipment; and develop robust accountability procedures that reinforce responsible stewardship and eliminate asset losses.
· Tool Condition & Deployment Readiness: Perform thorough physical and operational inspections on tools prior to issuance and immediately upon return. Verify proper operation, kit/accessory completeness, battery/charger condition, and calibration status, ensuring equipment is clean, fully functional, and ready for immediate redeployment.
· Maintenance & Calibration Oversight: Coordinate preventative maintenance schedules, professional repairs, warranty claims, and vendor servicing.
Maintain strict calibration programs compliant with manufacturer and regulatory standards, immediately removing defective or out-of-calibration assets from field circulation.
· Inventory Auditing & Control: Conduct regular cycle counts, comprehensive physical inventory counts, and asset reconciliations. Investigate discrepancies, implement corrective actions, and lead periodic and annual asset verification programs to ensure high inventory integrity.
· Utilization Analysis & Cost Management: Evaluate tool requests from field and project teams. Analyze utilization metrics, project durations, and cost structures to execute rent-versus-buy analyses and provide strategic recommendations on asset purchases, rentals, redeployment, and end-of-life disposal.
· Reporting & Continuous Improvement: Generate insightful reports on utilization rates, inventory accuracy, downtime, repair expenditures, calibration compliance, and asset recovery. Identify operational trends, recommend workflow enhancements, and support annual capital budgeting.
· Cross-Departmental Collaboration: Partner closely with Project Managers, Field Supervisors, Service Managers, Warehouse Personnel, and Operations Leadership to provide responsive internal customer service while holding firm to corporate asset accountability standards.
What You Bring to the Table (Qualifications):
· Industry Background: Proven experience in tool crib management, inventory control, warehouse operations, fleet administration, asset management, or equipment tracking within skilled trades or construction environments.
· Technical Aptitude & Systems: Strong computer proficiency and hands-on experience using ERP, asset tracking, or digital inventory systems (experience with Milwaukee One-Key, GigaTrak, RFID, or barcode systems is a distinct asset).
· Mechanical Acumen: Practical mechanical aptitude with a working knowledge of commercial/industrial electrical, HVAC, plumbing, and sheet metal tools, diagnostic equipment, and machinery.
· Analytical & Cost Focus: Familiarity with inventory reconciliation, utilization metrics, and rent-versus-buy lifecycle cost evaluation.
· Organizational & Detail Orientation: Exceptional record-keeping, prioritization, and organizational skills, with a rigorous eye for operational detail and accuracy.
· Communication & Interpersonal Skills: Strong verbal and written communication skills with the professional assertiveness required to enforce accountability and maintain positive field relationships.
· Licensing: A valid Ontario Driver’s License is required.
What Success Looks Like (Performance Scorecard):
· 100% Asset Visibility: Company-owned tools and equipment are accurately tracked, digitally logged, and accounted for across all facilities and job sites at all times.
· Zero Tool Drift: Overdue, missing, and unaccounted-for assets are proactively investigated and recovered; loss rates and tool replacement expenses are consistently minimized.
· Turnkey Deployment Readiness: All issued and returned tool kits remain complete with all batteries, chargers, and accessories, fully inspected, clean, and in prime operating condition.
· Zero Calibration Gaps: Calibration schedules are strictly maintained with zero overdue calibration events across specialized trade instrumentation.
· Inventory Reconciliation: Physical warehouse inventory counts match digital system records with top-tier inventory accuracy.
· Cost Optimization: Subcontractor and third-party rental expenses are minimized through timely asset redeployment and rigorous rent-versus-buy planning.
· Operational Reliability: Field teams receive dependable, mission-critical tools precisely when and where they need them to drive project milestones forward.
