Job Overview

GPS To Go helps businesses manage their fleets through GPS tracking and connected vehicle technology. We’re looking for an organized, dependable, customer-focused person with experience in billing, accounts receivable, or financial administration.

This role combines recurring billing, payment collection, customer account administration, and order and device coordination. You’ll work closely with sales, technical support, and our bookkeeper to keep accounts accurate and deliver helpful, professional service.

You’ll be a good fit if you take ownership of your work, follow through on commitments, and enjoy working with others to solve problems. You’ll also help improve our processes as we introduce more automation.

What you’ll do

Billing and customer accounts

- Set up customer accounts and maintain accurate contact information, payment terms, pricing, and billing details.
- Prepare, review, and release recurring monthly invoices and one-time charges.
- Update billing for device additions, removals, service plan changes, cancellations, and approved pricing adjustments.
- Verify that customer charges match approved orders and service records.
- Investigate discrepancies and coordinate approved corrections or credits.

Payments and accounts receivable

- Record and apply customer payments, checking payment batches against deposit records.
- Monitor failed or declined payments and follow up with customers.
- Review overdue balances, send statements and reminders, and make collection calls professionally and respectfully.
- Coordinate approved payment arrangements and account suspension notices under company policy.
- Maintain clear records of customer communications, payment commitments, and outstanding issues.

Order and device coordination

- Process orders from approved sales information and coordinate fulfilment with suppliers.
- Maintain accurate links between customer accounts, device records, service plans, and billing.
- Coordinate device replacements, returns, and terminations with technical support and suppliers.
- Review device and billing reports to identify missing charges, incorrect billing, and other discrepancies.
- Most orders are drop-shipped; this work focuses on administration and coordination rather than physical shipping or warehouse duties.

Customer service and teamwork

- Manage the accounts inbox and respond to billing, payment, and account inquiries.
- Explain invoices and account changes clearly, listening carefully and helping customers understand their options.
- Resolve routine concerns and escalate pricing exceptions, disputes, and complex issues.
- Work with our bookkeeper, sales, and technical support teams to resolve account issues.
- Keep colleagues informed and follow outstanding matters through to resolution.

Process improvement

- Keep customer records and internal procedures current.
- Help implement, test, and improve billing automation and system workflows.
- Identify opportunities to reduce errors, manual work, and unnecessary handoffs.
- Provide regular updates on overdue accounts, billing exceptions, and unresolved discrepancies.

What you bring

- Previous experience in billing, accounts receivable, customer accounts, or a related administrative role.
- Strong customer service skills: you listen, communicate clearly, and remain calm and respectful during difficult conversations.
- Accountability: you meet deadlines, follow through on commitments, take responsibility for accuracy, and flag problems early.
- A team-first attitude: you share information, support colleagues, and work collaboratively across departments.
- Solid attention to detail and confidence working with numbers.
- Good organization and the ability to manage competing priorities and monthly deadlines.
- Comfort using spreadsheets, accounting software, and CRM systems.
- Willingness to learn new tools and improve established processes.
- QuickBooks Desktop experience is an asset, as is experience with recurring billing or system migrations.

You don’t need to be an accountant. We’re looking for someone with practical experience, sound judgment, and a willingness to learn.

What success looks like

- Customers receive accurate invoices on time and helpful responses to their questions.
- Payments are applied correctly, and overdue accounts receive consistent follow-up.
- Device and service changes are reflected accurately in billing.
- Outstanding issues are tracked and followed through to resolution.
- Teammates can rely on your records, communication, and follow-through.
- Processes become more reliable and require less manual work.

To apply, send your resume and a brief introduction describing your relevant experience to [email protected].

Pay: $50,000.00-$75,000.00 per year
