About VibraClean
VibraClean is a growing commercial cleaning company specializing in controlled environments and critical cleaning for pharmaceutical, life sciences, healthcare and other regulated facilities across Canada and the United States.
About the Role
We are seeking a Client Services Manager to oversee our recurring cleaning contracts.
You will own the success of a portfolio of client sites, from client relationships and staffing to service quality and financial performance. You will lead a team of site supervisors and work closely with Accounting & Finance, Human Resources and leadership. You will identify risks early, take corrective action and keep leadership informed.
Because many of our clients follow Good Manufacturing Practice (GMP), you will also build a working knowledge of GMP cleaning and documentation requirements.
Key Responsibilities
Clients and Contracts
- Serve as the primary operational contact for assigned client accounts, building strong relationships through regular site visits and proactive communication.
- Resolve service requests, work orders and client concerns promptly through site supervisors and internal teams.
- Hold regular client meetings and quarterly business reviews to assess satisfaction, performance and changing needs.
- Protect contract renewals and work with leadership and Business Development to identify additional services within existing accounts.
People and Staffing
- Lead and support site supervisors, and stay connected with night and weekend crews through regular communication and site visits.
- Keep every site fully staffed by recruiting,
hiring and onboarding cleaning staff with supervisors.
- Oversee scheduling, attendance and performance, and approve employee hours accurately and on time for payroll.
- Follow sound HR practices and Ontario employment standards, escalating employee relations and disciplinary matters to Human Resources or leadership as appropriate.
Service Quality and Compliance
- Conduct and document regular site visits and quality inspections, including evenings and weekends.
- Track deficiencies and close corrective actions promptly with supervisors.
- Ensure sites meet contractual, GMP documentation and health and safety requirements, including Ontario’s OHSA and WHMIS and equivalent rules in other jurisdictions.
Financial Performance and Reporting
- Manage labour hours and overtime against budget and contract requirements, explaining cost variances with Accounting & Finance.
- Ensure scope changes and billable work are documented accurately for invoicing.
- Present a monthly site health summary to leadership covering finances, client satisfaction, staffing, service quality and contract risk, with action plans for at-risk accounts.
Requirements
Qualifications
Required
- Minimum 3 years managing cleaning, janitorial, facilities or similar multi-site service operations.
- Experience supervising frontline, shift-based teams and site supervisors, including night and weekend staff.
- Working knowledge of scheduling,
labour management, payroll coordination and Ontario employment standards.
- Ability to read labour budgets, cost reports and service performance data.
- Working knowledge of OHSA and WHMIS.
- Proficiency with Microsoft Office and scheduling or service management systems.
- High school diploma required; college or university education is an asset.
- Valid driver’s licence and passport, and the ability to meet client background screening and site access requirements.
Preferred
- Experience in GMP, pharmaceutical, life sciences, laboratory, food manufacturing or other regulated environments.
- Experience managing client accounts across multiple regions.
- Experience with contract profitability, operational budgeting or cost control.
The Ideal Candidate
- Self-directed and reliable: manages their own time, stays visible on sites and follows through without close supervision.
- Client-focused: builds trust, communicates proactively and takes ownership of client concerns.
- People-oriented: supports supervisors and frontline staff while holding them accountable.
- Financially aware: understands how staffing, overtime and inefficiencies affect contract profitability.
- Eager to learn: curious about GMP and compliance, and comfortable in a growing company.
Working Conditions
- Flexible schedule structured around site and client needs, including occasional evening and weekend site visits.
- Availability for urgent site issues outside regular business hours.
- Approximately 20% travel to client sites in Vancouver/BC, Ottawa and select U.S. locations.
Benefits
- Salary of $80,000–$95,000 per year, based on experience
- Car allowance
- Full time, permanent position with a growing company
